Full Job Description Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to support daily operations within our water mitigation and reconstruction team. This role is vital to ensuring smooth office procedures, assisting field technicians, and facilitating communication between departments, clients, and vendors. The ideal candidate is efficient, adaptable, and capable of handling multiple administrative tasks in a fast-paced environment.
Key Responsibilities:
Answer incoming calls and route appropriately Schedule inspections, estimates, and follow-up appointments Maintain and update project files and job tracking systems (e.g., Xactimate, DASH, PSA, or similar CRM software) Assist with preparation of reports, documentation, and billing Handle customer inquiries and provide excellent customer service Coordinate with field crews and subcontractors regarding job progress Assist with insurance documentation and communications Manage office supplies and equipment inventory Support team with general administrative duties and data entry Maintain confidentiality of all sensitive information
Requirements:
2+ years of administrative or office experience (restoration industry a plus) Proficiency in Microsoft Office (Word, Excel, Outlook) Strong organizational and multitasking abilities Excellent written and verbal communication skills Familiarity with insurance restoration processes and terminology is a plus Ability to remain calm under pressure and work in a team-oriented environment
Preferred Skills:
Experience with restoration software (Xactimate, DASH, PSA, JobNimbus, etc.) Understanding of water mitigation and reconstruction workflows Basic knowledge of insurance claims processes
