An Administrative Supervisor supervises administrative services in a larger company or organization. Manages office and business supplies, or documents and improves efficiency in office and administrative procedures, or supervises administrative staff. Coordinates with company operations directors and managers.

Position Overview:
The Administrative & Recruiting Coordinator plays a vital role in supporting our day-to-day office operations while leading our recruiting efforts. This individual will be responsible for sourcing quality employees, coordinating the hiring process, maintaining employee records, assisting with payroll preparation, and ensuring the office operates efficiently. This position is ideal for someone who enjoys working with people, staying organized, multitasking, and contributing to a growing business. Duties can change depending on the need of the business and as we hire new roles.
Key Responsibilities:
Post job openings on Indeed, Craigslist, Facebook, and other hiring platforms. Review resumes and applications. Conduct phone screenings. Schedule interviews. Perform reference checks. Coordinate new hire paperwork. Assist with onboarding and orientation. Maintain applicant tracking records. Build relationships with local staffing agencies and community organizations. Answer incoming phone calls and emails. Welcome visitors and applicants. Maintain employee personnel files. Prepare reports using Excel and Microsoft Office. Order office and janitorial supplies. Assist with payroll preparation and timekeeping. File and organize company documents. Support management with special projects. Maintain company calendars and schedules. Assist employees with payroll questions. Coordinate uniforms, badges, and supplies. Track employee certifications and training. Schedule employee meetings and orientations. Help maintain compliance with company policies.
Qualifications:
Previous administrative, recruiting, HR, or office experience preferred. Excellent communication and customer service skills. Strong organizational and time management abilities. Proficient in Microsoft Office (Word, Excel, Outlook). Ability to work independently while managing multiple priorities. High attention to detail and confidentiality. Bilingual (English/Spanish) is preferred but not required.
Preferred Skills:
Experience with project management tools and software. Knowledge of basic financial principles and budgeting. A professional outlook, an attitude of service, and a willing spirit toward honest work are key.
Requirements:
