Job Description
Our client, a growing biotechnology organization in La Jolla, is seeking a highly organized and detail-oriented Administrative Coordinator to support day-to-day administrative and operational needs. This is a great opportunity for someone who enjoys working in a collaborative, fast-paced environment and wants to grow within the biotech and life sciences industry.
The ideal candidate will be proactive, dependable, and comfortable balancing administrative tasks, scheduling, coordination, and communication across multiple teams.
Key ResponsibilitiesProvide day-to-day administrative support to leadership and internal teamsCoordinate calendars, meetings, conference rooms, and team schedulesPrepare meeting agendas, presentations, reports, and other documentsCoordinate office operations, supplies, equipment, and facility needsAssist with onboarding and offboarding of employees and contractorsMaintain organized files, records, and internal documentationCoordinate meetings with internal teams, vendors, consultants, and external partnersProcess invoices, purchase orders, expense reports, and other administrative documentationAssist with tracking projects, deadlines, and action itemsSupport company events, team meetings, and onsite activitiesServe as a point of contact for general administrative and office-related requestsHelp coordinate facilities, maintenance, shipping, and vendor relationshipsMaintain confidentiality when handling sensitive company and employee informationAssist with special projects and other operational initiatives as needed
