Job Description

Description Our client, a growing biotechnology organization in La Jolla, is seeking a highly organized and detail-oriented Administrative Coordinator to support day-to-day administrative and operational needs. This is a great opportunity for someone who enjoys working in a collaborative, fast-paced environment and wants to grow within the biotech and life sciences industry. The ideal candidate will be proactive, dependable, and comfortable balancing administrative tasks, scheduling, coordination, and communication across multiple teams. Key Responsibilities

+ Provide day-to-day administrative support to leadership and internal teams

+ Coordinate calendars, meetings, conference rooms, and team schedules

+ Prepare meeting agendas, presentations, reports, and other documents

+ Coordinate office operations, supplies, equipment, and facility needs

+ Assist with onboarding and offboarding of employees and contractors

+ Maintain organized files, records, and internal documentation

+ Coordinate meetings with internal teams, vendors, consultants, and external partners

+ Process invoices, purchase orders, expense reports, and other administrative documentation

+ Assist with tracking projects, deadlines, and action items

+ Support company events, team meetings, and onsite activities

+ Serve as a point of contact for general administrative and office-related requests

+ Help coordinate facilities, maintenance, shipping, and vendor relationships

+ Maintain confidentiality when handling sensitive company and employee information

+ Assist with special projects and other operational initiatives as needed Requirements Qualifications + 2+ years of administrative, office coordination, or operations experience

+ Experience in biotech, pharmaceutical, life sciences, healthcare, or another professional environment preferred

+ Strong organizational and time-management skills

+ Excellent attention to detail and follow-through

+ Strong written and verbal communication skills

+ Proficiency with Microsoft Office, particularly Outlook, Word, and Excel

+ Ability to manage multiple priorities in a fast-paced environment

+ Professional, collaborative, and service-oriented approach
