Job Description

Key Responsibilities Executive & Administrative Support ? Provide administrative support to senior leadership. ? Manage calendars, scheduling, appointments, calls, and meetings. ? Prepare agendas, documents, notes, and background materials for meetings. ? Track meeting outcomes, next steps, assignments, and follow-up items. ? Handle confidential information with professionalism and discretion. Communication & Coordination ? Coordinate communication with team members, vendors, contractors, clients, and ministry partners. ? Draft, proofread, format, and organize emails, documents, and internal communications. ? Help ensure timely follow-up with internal and external stakeholders. ? Serve as a reliable administrative point of contact when needed. Project & Document Support ? Help track project details, deadlines, documents, and deliverables. ? Organize and maintain files in Google Drive, Google Docs, Google Sheets, and related systems. ? Support document preparation, version control, file naming, and digital organization. ? Assist with vendor coordination, meeting logistics, and administrative operations across multiple initiatives. Required Qualifications ? Previous experience in administration, executive support, office coordination, project support, or a related role. ? Strong organizational skills and excellent attention to detail. ? Excellent written and verbal communication skills. ? Ability to manage multiple priorities and deadlines at the same time. ? Strong follow-through and ability to close loops. ? Proficiency with Google Drive, Google Docs, Google Sheets, calendars, email, and common office tools. ? Professional, warm, mature, and service-oriented communication style. ? Comfortable working in a Christian ministry environment. Preferred Qualifications ? Experience supporting executives, founders, pastors, ministry leaders, authors, or creative teams. ? Experience in publishing, curriculum, nonprofit, church ministry, production, marketing, or media. ? Familiarity with project management tools, Canva, AI tools, CRM systems, or online collaboration platforms. ? Experience coordinating vendors, contractors, meetings, events, or production details. ? Ability to improve administrative systems and create more efficient workflows.
