Job Description
Patmon Company Inc. | Stockton, CA Position Summary Patmon Company is seeking a highly organized, dependable, and computer-savvy Administrative & Operations Coordinator to support our corporate office and restaurant operations. This is not simply a receptionist position. We are looking for someone who can help manage the many daily administrative tasks that keep our businesses moving. The right person will be comfortable working independently, learning new systems, handling multiple priorities, and completing projects from beginning to end. This position will work closely with company leadership and office staff and will also provide administrative support for The Kitchen @ Stonebrier. We need someone who sees what needs to be done, stays organized, follows through, and isn't afraid to take ownership of a task. Primary Responsibilities Office & Administrative Support Assist with daily administrative tasks for the corporate office Manage and organize emails, documents, electronic files, and correspondence Maintain spreadsheets, trackers, calendars, contact lists, and reports Enter and organize data accurately Scan, save, organize, and maintain electronic records Assist with scheduling meetings, appointments, deadlines, and follow-ups Track outstanding items and follow up with employees, vendors, managers, and other contacts as directed Help keep leadership organized by maintaining task lists and project follow-ups Assist with special projects as needed Answer phones and assist with general office communication when necessary Excel, Word & Computer Work Create and maintain Excel spreadsheets Enter data and maintain accurate records Create basic formulas, totals, trackers, and reports in Excel Format professional documents using Microsoft Word Create PDFs, forms, checklists, labels, and other office materials Manage files and folders electronically Compose professional emails and correspondence Learn and work within company software and online platforms Perform online research when requested Troubleshoot basic computer and document issues independently Restaurant Administrative Support Provide behind-the-scenes administrative support for The Kitchen @ Stonebrier , including: Updating menus, pricing sheets, recipes, and restaurant documents Assisting with catering and banquet paperwork Maintaining event calendars and catering information Updating menus and other documents when items or pricing change Helping prepare flyers, promotions, event information, and basic marketing materials Assisting with Toast, reservation platforms, catering platforms, and other restaurant systems as trained Supporting management with administrative projects so restaurant managers can remain focused on operations and guests AP/AR knowledgable We need someone who is: Very comfortable using a computer Proficient in Microsoft Excel, Word, Outlook/email, and basic office software Able to learn new software quickly Organized and detail-oriented A strong written communicator Comfortable creating spreadsheets and documents from scratch Able to manage several projects at once Reliable and consistent Able to work independently after being given direction Comfortable asking questions when needed but also capable of finding solutions Good at following through and meeting deadlines Professional when dealing with employees, vendors, residents, customers, and business partners Able to handle confidential company and employee information appropriately Flexible and willing to jump between different types of tasks throughout the day Qualifications Previous administrative, office, executive assistant, operations, or similar experience preferred Strong Microsoft Excel and Word skills required Strong email and written communication skills Excellent organizational and time-management skills Accurate data-entry skills Restaurant, property management, accounting, or operations experience is a plus but not required Ability to maintain confidentiality Ability to work in a fast-paced environment with changing priorities AP/AR knowledge including invoicing, payment processing, account reconciliation, expense tracking, and maintaining accurate financial records. Position Type Part-Time 10am-3pm Monday-Friday Compensation based on experience and skill level.
