Job Description
Description Administrative Coordinator We are looking for a highly organized Administrative Coordinator to support executive operations in Englewood, Colorado. This is a Contract position suited for an experienced, detail-oriented individual who can manage competing priorities, maintain discretion, and communicate effectively with stakeholders across the organization. The role blends executive-level administrative support with project coordination, helping keep schedules, meetings, communications, and office activities running smoothly.
Responsibilities:
- Oversee a complex executive calendar, balancing meetings and priorities to create an efficient daily schedule.
- Arrange meetings, prepare logistics, and participate when needed to capture notes and document next steps.
- Track follow-up items after meetings and help drive timely completion of assigned actions.
- Draft, review, and distribute clear correspondence and other written communications on behalf of leadership.
- Reconcile corporate card expenses and assist with routine administrative reporting and documentation.
- Coordinate travel plans, including itineraries and related scheduling details.
- Provide broad office support for the Office of the President, contributing wherever administrative needs arise.
- Welcome visitors and respond to walk-in inquiries with sound judgment.
- Assist with proofreading formal documents, including institutional materials, to ensure accuracy and clarity. Requirements
- 3-4 years of administrative or coordination experience, ideally supporting senior leadership.
- Demonstrated success managing calendars, scheduling meetings, and handling multiple priorities at once.
- Strong written communication skills with excellent grammar, proofreading ability, and attention to detail.
- Proficiency with Microsoft Office, especially Word and Excel.
- Detail-oriented demeanor with the ability to interact confidently with executives, faculty, staff, and visitors.
- High level of discretion and maturity when working with sensitive or confidential information.
- Resourceful, self-assured, and comfortable responding to shifting requests in a fast-paced office.
- Higher education experience is preferred; otherwise, experience supporting VP-level leadership is strongly desired.
