Job Description

Work for the IMF. Work for the World. The Resource and Information Management Division (RM) of the Fiscal Affairs Department (FAD) is seeking to fill an Administrative Coordinator position to join the Travel Claims Team, which is part of the Operations Team. The selected candidate will provide operational and administrative support to the department. Key Responsibilities Travel Claims Team (primary) Process travel expense reports, ensuring accuracy, completeness, and data quality in the information system. Review and certify duty days in accordance with mission records and applicable guidelines. Determine standard entitlements and ensure compliance with Fund and departmental travel policies. Monitor adherence to the Lowest Available Direct Fare (LADF) principle to promote cost-effective travel. Verify reservation details and ticketed itinerary costs against approved Travel Authorizations (TAs) and contractual terms. Serve as the primary point of contact for travel-related issues; coordinate with Finance and Transportation stakeholders for timely resolution. Advise staff on travel policies and procedures, including periodic onboarding briefings for new employees. Prepare periodic performance reports on FAD travel claims processing. Identify and propose improvements to departmental travel policies and procedures. Collaborate on special projects and cross-functional initiatives as assigned. General Operations Functions Advise CD project managers on capturing and managing capacity development activities in CDMAP. •1 Conduct quality control reviews of activities recorded in CDMAP to ensure data integrity. Maintain the accuracy and timeliness of mission travel information in TIMS.•2 Assist in administering TIMS, including mission records, expert roster management, and Capacity Development (CD) report finalization. Support the recruitment and contracting of short- and long-term experts. Liaise with HR, Finance, and IT on matters related to contracts, security clearances, and travel logistics. Ensure all activities comply with applicable Fund policies, regulations, and internal controls. Contribute to the administration of externally financed CD projects. Qualifications Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of two (2) years of relevant experience, is required. No previous experience will be required for those who have completed a university degree. Competencies Strong organizational and planning skills, with the ability to manage multiple priorities under tight deadlines. Excellent written and verbal communication skills; ability to interact effectively with diverse stakeholders. Demonstrated aptitude for learning and applying new technologies quickly and effectively. Proficiency in enterprise systems (e.g., PeopleSoft) and advanced Microsoft Excel. Ability to work both independently and collaboratively within a team environment. Client-focused mindset with strong problem-solving abilities, creativity, and meticulous attention to detail. Sound professional judgment and strong interpersonal skills. •1 - CDMAP (Capacity Development Management and Administration Program) is the Fund's corporate platform for planning, managing, resourcing, and monitoring capacity development activities end-to-end. •2 - TIMS (Travel Information Management System) is the Fund's corporate system for recording, approving, and tracking mission travel, including travel authorizations (TAs), missions, costs, and compliance across departments. This is a one-year contractual appointment. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent's performance, budget availability, and continuous business need. Only candidates who are currently residing in the Washington DC metro area will be considered.
