Events and Administrative Coordinator Classification:

Part-time (20 hours/week), non-exempt

Schedule:

Monday-Friday, 9:00am

•1:00pm (Hours may vary; evenings, occasional Saturdays or Sundays, depending on event schedule). Hybrid/remote days possible.

We are looking for an Event and Administrative Coordinator who can confidently manage external events, build strong relationships with clients and community partners, think ahead, solve problems, and keep multiple moving pieces running smoothly. This role is perfect for someone with strong hospitality or event planning experience who brings professionalism, initiative, critical-thinking skills, attention to detail, and a genuine servant-hearted approach to their work. Position Summary New York Avenue Presbyterian Church seeks a highly organized, proactive, and service-oriented Event and Administrative Coordinator to support internal and external events and provide administrative support to the Director of Operations and Administration, Associate Pastor and Senior Pastor. This part-time position plays a key role in managing the logistics and operational coordination of the church's many external events, community partnerships, conferences, rentals, nonprofit gatherings, civic engagements, and public programs hosted within a busy downtown Washington, DC environment. The ideal candidate is a self-starter who thrives in a fast-paced setting, demonstrates strong critical thinking skills, anticipates operational needs, and maintains a high level of professionalism when working with vendors, tenants, community organizations, guests, and church leadership. While the primary focus of this role is external event coordination, the position will also assist with internal event support including scheduling, calendar management, coordination of room reservations, food and beverage, and communication of setup requirements to building staff. Essential Responsibilities External Event Coordination Serve as the primary coordinator for external events hosted at the church, including all rental events, nonprofit events, conferences, meetings, civic gatherings, and receptions. Coordinate all event logistics including scheduling, room reservations, vendor communication, catering coordination, audiovisual needs, hospitality arrangements, and event execution. Work closely with external organizations, vendors, and event contacts to ensure smooth planning and successful implementation of events. Ensure invoices are issued and paid prior to event date. Develop and maintain event schedules, timelines, setup instructions, and operational details. Communicate event setup and operational requirements clearly to facilities manager. Lead site visits and assist prospective clients and partners with event inquiries and logistics. Help identify and cultivate mission-aligned sponsorships, partnerships, and event-related revenue opportunities. Ensure a high standard of hospitality and professionalism for all guests and event participants. Administrative Support Manage church calendar, scheduling requests, facility use coordination, and meeting logistics. Maintain accurate records, building use agreements, correspondence, event files, and operational documentation. Prepare reports and spreadsheets as requested. Order supplies and monitor inventory Print weekly bulletins and other service/event bulletins/programs. Run background checks on staff and volunteers as needed. Assist with coordination between ministry leaders, operations staff, vendors, and external partners. Serve as onsite point person for all external events and some internal events, as needed. Provide administrative support to the Director of Operations and Administration. Provide administrative support to the Senior Pastor and Associate Pastor. Support day-to-day office and operational needs, as assigned. Communication and Organizational Support Serve as a welcoming and professional representative of the church to event sponsors, members, visitors, tenants, vendors, and community organizations. Exercise sound judgment, discretion, and independent decision-making. Anticipate needs and proactively resolve scheduling or operational conflicts. Support efficient communication across operational teams. Contribute to a collaborative and service-oriented work environment. Qualifications Associate's degree preferred or equivalent professional experience. Minimum of 2-3 years of professional administrative experience required. Professional event planning experience within the hospitality industry, strongly preferred. Demonstrated ability to independently manage multiple priorities and deadlines in a fast-paced environment. Strong organizational, analytical, and critical thinking skills, a must. Excellent written, oral, and interpersonal communication skills. Ability to remain calm and flexible under pressure. Strong hospitality instincts and relationship-building skills. High degree of professionalism, discretion, emotional intelligence, and customer service orientation.

Strong proficiency preferred in:

Microsoft Office Suite (specifically, Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Gmail) Planning Center proficiency (training provided) Event scheduling and calendar management systems Ability to work occasional evenings and weekends as event schedules require. Must be able to stand and walk for long periods and lift/carry up to 15 pounds, when necessary.
