About Us We are an established, growing custom cabinetry company in Englewood, Florida. We design, build and install custom cabinetry for homeowners, builders and remodeling projects. We are looking for an organized, dependable Office & Administration Coordinator who can help us bring structure and consistency to the office and become an important part of how our company operates. This is not simply a receptionist position. We are looking for someone who enjoys keeping things organized, following through on details and making sure information gets to the right person at the right time.
What You'll Do:
Office & Customer Coordination Answer phones and respond to emails professionally Greet and communicate with customers, builders and vendors Schedule appointments, measurements and installations Follow up with customers and builders regarding job status and scheduling Maintain organized customer and job files Help keep our office calendar and workflow organized Communicate important information between the office, sales, CAD, shop and installation teams Job & Project Administration Create and maintain job paperwork and digital files Track jobs through our production process Make sure required information is received before a job moves to the next stage Help coordinate information between sales, design, purchasing, production and installation Track deposits, invoices and customer payments Help keep projects moving by identifying missing information or delays before they become problems Assist with material orders for the projects Accounting & Administrative Support Enter and organize vendor bills and invoices Assist with accounts payable and accounts receivable Assist with routine bookkeeping and financial recordkeeping Maintain employee records and administrative paperwork Help with ordering office supplies and general office administration Process & Organization Follow established procedures and checklists Help us maintain consistent systems as our company grows Identify problems or missing information and bring them to the appropriate person Take ownership of assigned responsibilities rather than waiting to be told what to do What We're Looking For The right person will be: Extremely organized and detail-oriented Dependable and consistent Comfortable working independently A strong communicator Good at following up and getting things done Comfortable talking with customers and contractors Able to prioritize multiple projects at once Comfortable learning new software and systems Professional, friendly and confident Someone who notices when something is missing or doesn't make sense We are looking for a problem-solver, not someone who needs to be babysat. Experience We Prefer 2+ years of office administration, project coordination or administrative experience Experience with QuickBooks or similar accounting software Construction, remodeling, cabinetry, building or other trade-industry experience is a plus Experience with scheduling and customer communication Strong computer skills Experience with project-management/CRM software is a plus Cabinetry experience is not required. We can teach you our industry. We cannot easily teach someone to be naturally organized, responsible and good at follow-through.
