Job Description
Tradewinds Kitchen & Bath - Stuart, FL Full-Time | Monday-Friday | 8:00 AM-4:30 PM $18-$22/hour, depending on experience Tradewinds Kitchen & Bath is looking for a friendly, highly organized, dependable Administrative Coordinator to support our design and project management team. This is more than a traditional front-desk position. You'll play an important role in keeping our showroom, client communication, project documentation, material orders, and day-to-day operations organized and moving forward. We're a small, busy team, so reliability, consistent attendance, and follow-through are extremely important in this position. We're looking for someone who takes ownership of their responsibilities, enjoys helping both clients and coworkers, and is comfortable managing multiple priorities throughout the day. What You'll Do Client & Showroom Support Serve as the first point of contact for clients visiting or calling our showroom Answer phones, return voicemails, and route calls to the appropriate team member Greet walk-in clients warmly and professionally Assist with routine client communication, scheduling, follow-ups, and project updates Direct clients to the appropriate designer or Project Manager when needed Help maintain a clean, organized, and welcoming showroom environment Project & Administrative Support Prepare client contracts and other project documentation Send invoices and assist with payment follow-up Maintain organized digital client and project files Update project information and track outstanding administrative items Assist with scheduling and client communication throughout active projects Participate in weekly project and design meetings Help ensure important client, vendor, and project information gets to the appropriate team member Provide administrative support to the Project Manager and design team Ordering & Vendor Coordination Place and track orders for project materials, including cabinetry, tile, countertops, hardware, and other products Communicate with vendors regarding pricing, availability, lead times, deliveries, and order status Coordinate material deliveries and communicate scheduling information Receive, inspect, label, and organize incoming project materials Research product information and pricing as needed Assist with new vendor setup and documentation Proactively communicate delays, discrepancies, damaged materials, or other order issues to the Project Manager What We're Looking For The right person for this position is: Dependable, punctual, and committed to maintaining a consistent work schedule Highly organized and able to manage multiple priorities Friendly, professional, and comfortable interacting with clients Detail-oriented and willing to double-check their work Comfortable taking ownership of assigned responsibilities and following tasks through to completion Able to work independently while communicating well with a small team Comfortable asking questions when something isn't clear Able to receive feedback, adjust, and learn new processes Proactive about identifying outstanding tasks and following up Comfortable working in a fast-paced environment where priorities may change throughout the day Required Computer & Technical Skills Strong computer proficiency and professional experience using Google Workspace are required for this position. Candidates should already be comfortable with: Google Sheets Google Drive and shared file systems Google Docs Gmail Google Calendar Creating, downloading, uploading, renaming, and organizing digital files Working with PDFs and email attachments Navigating spreadsheets and maintaining accurate information Learning new software and digital systems independently We are happy to teach our company-specific processes, ordering procedures, vendors, products, and project workflows. However, this position requires someone who already has a strong working knowledge of computers and Google Workspace.
Qualifications Required:
Previous administrative, customer service, office coordination, or similar professional experience Professional experience using Google Workspace, particularly Google Sheets and Google Drive Strong general computer skills Strong written and verbal communication skills Excellent organizational and time-management skills Reliable transportation and the ability to consistently work the required schedule Ability to lift up to 50 lbs occasionally for incoming materials and showroom needs Preferred, but not required: Construction, remodeling, cabinetry, interior design, purchasing, or project coordination experience Experience with project management, CRM, accounting, or construction software Experience coordinating material orders or working with vendors Schedule Monday through Friday 8:00 AM-4:30 PM 30-minute unpaid lunch break This is an in-person position in our Stuart showroom. Regular, dependable attendance during scheduled working hours is an essential part of this role.Compensation & Benefits Pay:
