osition Summary We are seeking a highly organized, experienced, and proactive On-Site Hospital Administrator to support and oversee the day-to-day operations of the Utilization Review (UR) team within an inpatient hospital setting . The On-Site Administrator will serve as a key operational liaison between the UR team, hospital leadership, physicians, nursing staff, case management, clinical departments, and external stakeholders. This individual will help ensure that utilization review processes are completed accurately, timely, and in accordance with hospital policies, payer requirements, regulatory standards, and organizational expectations. The ideal candidate will have strong healthcare administrative experience, excellent communication skills, exceptional attention to detail, and the ability to work effectively in a fast-paced inpatient environment. Key ResponsibilitiesOn-Site Operations Oversee the day-to-day administrative operations of the UR department. Serve as the primary on-site administrative contact for the UR team. Coordinate daily workflows, assignments, priorities, and operational needs. Ensure UR staff have the resources, information, and support necessary to complete their responsibilities. Monitor department productivity, timeliness, and completion of assigned work. Identify operational issues and escalate concerns to appropriate leadership. Maintain effective communication between the UR team and hospital administration. Participate in hospital meetings and operational discussions as requested. Assist with implementing organizational policies, procedures, and workflow improvements. Utilization Review Support Support the UR team in coordinating timely reviews of inpatient admissions and continued stays. Monitor completion of initial and concurrent utilization reviews. Ensure required clinical documentation is available for review. Coordinate communication between UR staff, physicians, nursing, case management, and other clinical departments. Assist with identifying cases requiring additional review, escalation, or follow-up. Track outstanding reviews, payer requests, clinical documentation, and other UR-related items. Assist with maintaining accurate and timely UR records and reports. Support the team with authorization and payer-related workflows as applicable. Help ensure UR activities are completed within required payer and organizational timelines. Hospital & Clinical Coordination Establish and maintain professional working relationships with hospital leadership and clinical staff. Communicate with physicians, nurses, case managers, social workers, and other healthcare professionals regarding operational and UR matters. Facilitate resolution of issues that may delay reviews, authorizations, documentation, or other UR activities. Coordinate with hospital departments when additional records or information are needed. Attend interdisciplinary meetings as appropriate. Promote effective communication and collaboration between the UR department and hospital departments. Staff Oversight & Support Assist with scheduling and daily staffing coordination for the UR team. Monitor attendance, coverage, workload distribution, and staffing needs. Assist with onboarding and orientation of new UR staff. Provide operational guidance and support to UR staff. Identify training needs and communicate them to department leadership. Promote accountability, professionalism, and adherence to department standards. Assist leadership with performance monitoring and corrective action processes when appropriate. Compliance & Quality Ensure UR operations follow applicable hospital policies and procedures. Support compliance with payer requirements and applicable healthcare regulations. Maintain confidentiality of protected health information in accordance with HIPAA and organizational policies. Assist with internal and external audits involving UR activities. Monitor quality and accuracy of UR documentation. Identify potential compliance concerns and promptly escalate them to leadership. Assist with developing and implementing corrective action plans when needed. Maintain accurate departmental records and documentation. Reporting & Administrative Duties Prepare and maintain daily, weekly, and monthly UR reports. Track departmental productivity, outstanding cases, authorization activity, and other relevant metrics. Maintain spreadsheets, databases, logs, and tracking systems. Provide regular operational updates to leadership. Assist with reviewing department performance and identifying opportunities for improvement. Maintain organized electronic and physical records as required. Complete other administrative responsibilities related to hospital operations and UR as assigned.
Qualifications Required:
Healthcare administration or hospital operations experience. Experience working in an inpatient hospital environment. Strong understanding of healthcare workflows and clinical operations. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to communicate professionally with physicians, nurses, hospital leadership, and administrative personnel. Strong attention to detail and ability to manage multiple priorities. Proficiency with Microsoft Office, Excel, electronic medical records, and other healthcare systems. Ability to maintain confidentiality and handle protected health information. Ability to work independently and make appropriate operational decisions within established guidelines.
