POSITION PURPOSE
The Administrative Support Coordinator is responsible for managing the day-to-day in-office operations of Tall Builders LLC. This role serves as the physical presence of the company — ensuring the office runs smoothly, clients and visitors receive a warm and professional welcome, incoming correspondence and payments are properly handled, and all administrative and operational tasks requiring on-site attention are completed efficiently and accurately.
KEY RESPONSIBILITIES
Front Desk & Office Presence Serve as the first point of contact for all walk-in clients, vendors, delivery drivers, and visitors — ensuring a warm, professional, and welcoming first impression Maintain a clean, organized, and professional office environment at all times Manage and restock office supplies, printer toner, paper, snacks, coffee, and essential materials Organize and maintain the back room including worker shirts and office inventory Maintain kitchenette cleanliness and organization Assist with in-office meeting logistics including food pickup and ensuring meeting readiness Serve as the in-person point of contact for employees with immediate needs Mail, Packages & Deliveries Check, sort, and distribute all incoming office mail daily Receive, log, and distribute incoming packages and physical deliveries Track and manage parking payments related to office needs Check & Payment Processing Print, obtain signatures on, and release checks to subcontractors and vendors File check stubs and maintain organized physical payment records Receive and process customer payments made in the office Deposit check payments to the bank Document Handling & Permit Routing Support Print and laminate building permits for job sites as required Assist with the printing of all documents/paperwork needed physically by team members Administrative & Operational Support Support in-person meetings, client signings, and document execution as needed Assist the Office Manager with overflow administrative tasks on an as-needed basis
QUALIFICATIONS
Strong interpersonal and communication skills with a professional, welcoming demeanor Highly organized with the ability to multitask and manage competing priorities Reliable, punctual, and committed to showing up consistently Comfortable working independently with minimal supervision Basic computer proficiency (email, printing, scanning, uploading documents) Experience in an office, receptionist, or administrative support role preferred Construction or real estate industry experience is a plus but not required

$18.00 - $22.00 per hour
