Job Description
Lead Pastor Position:
Part-Time (25-30 hours/week) Position Summary The Administrative Coordinator serves as the central hub of communication, coordination and organization for the church office. This role is often the first point of contact for visitors, callers, and online inquiries, and helps create a welcoming, responsive, and well-organized environment. This position requires strong communication skills, attention to detail, proficiency with technology, and the ability to manage multiple tasks while maintaining confidentiality and professionalism. This role plays a key part in helping people feel seen, connected and cared for from their very first interaction with the church. Key Responsibilities Communication & Front Office Serve as the primary point of contact for the church office—welcoming visitors, answering phone calls, and responding to inquiries with warmth and professionalism Use good judgment in routing and redirecting calls, visitors, and requests Respond to website inquiries and connect cards with timely, welcoming email communication Process and route incoming mail; assist with occasional mailings as needed Ensure all written communication reflects proper English, grammar, spelling, and punctuation Maintain and update the church's electronic outdoor sign in coordination with staff Support for Staff & Ministry Teams Collaborate with Pastors and staff to execute projects, coordinate tasks, and fulfill additional responsibilities that support church operations. Provide administrative support to pastors, staff and ministry teams as needed Assist ministry teams with administrative needs and projects Screen phone calls and assist with scheduling appointments Office Management & Administration Maintain organized and up-to-date digital and paper filing systems Maintain accurate records for baptisms, membership, attendance, and giving Maintain and regularly update the attendee/member database, including contact information for adults and children Collect and compile statistics and data for the Annual Report Perform clerical aspects of the Financial Secretary role Purchase and manage inventory levels of office and church-wide supplies (e.g., paper products, coffee supplies, cleaning items, etc.) Maintain an up-to-date, easy-to-reference contact list for building maintenance vendors and active service contracts Demonstrate general proficiency with technology and office systems; troubleshoot basic issues as needed Publishing & Communications Design, edit, and print the weekly worship bulletin Print and prepare weekly music for the worship team In partnership with the Lead Pastor, create and distribute the weekly church email update (articles, announcements, calendar, etc.) Maintain and update the church calendar across platforms Update content within the Church Center app Coordinate, design and produce the Annual Report Design & Digital Tools Utilize Canva (or similar design tools) for creating church communications and materials Apply strong visual and design skills to enhance communication where appropriate Willingness to learn and use Planning Center and other church management systems Building & Facility Coordination Schedule and coordinate building use with staff and ministry leaders Maintain regular communication with janitorial services Schedule carpet cleaning and other facility maintenance as needed Additional Expectations Availability for occasional Saturday mornings, particularly for funerals Ability to manage confidential information with discretion and professionalism Strong organizational skills and attention to detail Ability to work both independently and collaboratively Preferred Skills & Experience Strong organizational systems and attention to detail in managing multiple workflows Proficiency with general office technology and software Experience with Canva or other design platforms Familiarity with Planning Center or other church management platforms(or willingness to learn) Strong written and verbal communication skills Administrative and organizational experience Ability to manage interruptions and shifting priorities in a dynamic environment Maintain confidentiality (i.e. information and/or records regarding finance, membership and other individuals, etc.) High school diploma or equivalent; plus 2 years of experience in an office environment Compensation & Benefits Compensation commensurate with experience Part-time position (25-30 hours/week) Flexible hours Limited paid time off (details to be discussed) To Apply Please send a resume to Jen Zerby, Lead Pastor at pastorjen@hillcrestdekalb.comPay:
