Job Description

We are looking for an Administrative Coordinator to support construction-related operations in West Chicago, Illinois. This contract opportunity with potential for a permanent position is ideal for someone who enjoys keeping projects organized, maintaining accurate records, and coordinating communication across teams. The person in this role will help ensure documentation, scheduling, and financial processes stay on track while providing dependable day-to-day administrative support.
Responsibilities:
  • Organize and maintain project files, including agreements, change documentation, permits, applications, and closeout records to keep construction activities properly documented.
  • Manage administrative workflows for RFIs, submittals, insurance documentation, and tax forms so project requirements and compliance items are completed on time.
  • Review, route, and track invoices, payment applications, and expense submissions to support accurate approvals and timely processing.
  • Monitor job-related financial records such as subcontractor payments, lien waivers, and cost tracking details to help maintain clear project visibility.
  • Coordinate meetings for project teams, prepare agendas, and distribute follow-up materials while helping keep schedules and deliverables aligned.
  • Enter and update project information within company systems and databases, ensuring records remain current, complete, and easy to access.
  • Act as a communication hub for project managers, engineers, clients, vendors, and subcontractors to help resolve questions and maintain workflow continuity.
  • Provide general administrative support to the construction team, including assisting with material orders, bid-related documents, procurement tasks, and other operational needs.
