Pelican Engineering is a Lafayette, Louisiana technology and product development firm specializing in mechanical and electrical engineering, embedded firmware, software development, and electronic product manufacturing. THE ROLE
We are looking for an Admin Coordinator who brings a positive attitude, genuine initiative, and the willingness to work hard to everything they do. This role is the front of house and the operational backbone of our office. You will manage guests and vendors, keep the kitchen and common areas running to a high standard, support leadership and our business development team, and coordinate events and culture efforts across the company. No two days look exactly the same. You will need to manage multiple priorities at once, follow established protocols consistently, and handle whatever the day brings without losing your footing. WHAT YOU WILL DO
Kitchen, Cleanliness & Facility Standards This is your primary responsibility and it comes first, every day, before anything else. You own the kitchen from top to bottom: stocking, cleanliness, and keeping it ready throughout the day. You manage trash removal across the kitchen, bathrooms, and all common areas daily. You monitor and reorder bathroom and office supplies before shortages happen, and you keep conference rooms reset and common areas presentable at all times. This building reflects who we are, and you take pride in that. Guest Management & Front of House You are the first person guests and callers encounter at Pelican Engineering. Phones are answered live. Every visitor is greeted promptly, managed per protocol, and directed to the right person without delay. No guest stands unattended. You represent PE with professionalism and warmth on every interaction, without exception. Vendor Management & Office Operations You manage day-to-day vendor relationships and office operations: grocery and supply ordering, facility vendor coordination, mail sorting and routing, meeting prep, and maintaining branded materials inventory. Vendors are handled professionally. Orders go out before things run out. When issues come up, you bring them to your manager immediately. Administrative & Leadership Support You provide day-to-day administrative support to the Office Manager and, as directed, to executive leadership. This includes document prep, errand runs, calendar support, and whatever else keeps things moving. You run on the checklist and complete tasks without being reminded. Business Development & Marketing Support You support the business development team with proposal production (printing, binding, and coordinating delivery), branded materials inventory, trade show and conference logistics, and social media scheduling as directed. Materials go out on time, complete, and professionally assembled. Culture & Events You assist with team lunches, catering orders, company events, holiday celebrations, career fair logistics, and new hire onboarding support including swag bags and new hire photos. Events run without visible effort.
WHAT WE NEED FROM YOU
Required Minimum 5 years of experience in a high-level customer service or office coordination role, with a track record of growing responsibilities over time Proficiency across Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams; comfortable using these tools daily without hand-holding Experience with AI tools in a professional setting, or a genuine eagerness to learn and integrate them into daily work A positive, can-do attitude toward all aspects of the role, including the unglamorous ones; not afraid to work hard or pivot fast Self-directed and proactive; you identify what needs doing and follow through without needing follow-up Strong written and verbal communication skills; professional and composed in guest and vendor interactions Ability to manage multiple priorities at once without losing accuracy or momentum Valid driver's license; occasional errands and off-site tasks are part of the role Comfortable in a physical role involving light lifting up to 30 lbs, supply restocking, and regular movement throughout the building A minimum of 3 professional references Preferred Associate's degree or technical degree in business administration, office management, or a related field Experience in a technical, engineering, or manufacturing environment Familiarity with ERP or business operations platforms Experience with social media management or content scheduling Interest in quality management systems or process documentation
