Job Description

Non-exempt; full-time; 40 hours per week; Monday - Friday; 8:00 a.m. - 5:00 p.m.; full-benefits The Frederick County Office of Agriculture is dedicated to preserving farmland through conservation easements, supporting agricultural operations with business support and technical assistance, and promoting local farms through initiatives like Homegrown Frederick, ensuring a vibrant and diverse agricultural community. The Office of Agriculture is looking for a detail-oriented, pro-active, Administrative Coordinator that is interested in supporting Frederick County Agriculture. This position will coordinate workflow for the Office of Agriculture and provide administrative, and fiscal support.

The upper pay range reflects possible wage rates for internal County transfers and promotions, which are calculated per County policy. For external hires, offers are made at the base wage rate. Manage and oversee the office's day-to-day workflow and operations to ensure the Office is running smoothly, effectively, and efficiently Perform administrative functions for the office Compose, prepare, proofread, and sign correspondence, memorandums, and statistics; as needed, review and analyze data and statistics Research, prioritize, and follow up on incoming issues and concerns; determine the appropriate course of action, referral, or response Utilize the automated procurement system to prepare purchase orders, check requests, expense reports and other fiscal actions as needed, prepare and secure request for quotes Oversee, monitor and maintain office supply and printed material inventories Manage a variety of special projects and events for the Director; maintain, track and follow up on projects from beginning to end; ensure project deadlines are met Serve as the administrative liaison to the Agricultural Business Council and Agricultural Preservation Advisory Board by assisting board members with correspondence and meeting planning Comply with applicable rules and regulations set by board matters, which includes advance distribution of materials before meetings in electronic/paper format Assist with preparing and monitoring office and program budgets and producing reports; verify account numbers and/or accounting units for accuracy Coordinate appointments for the director and attend meetings as requested by the director Process and distribute all incoming and outgoing mail for the Office of Agriculture; review and respond to incoming mail Coordinate on-boarding of new hires for the department; serve as liaison with the County's Division of Human Resources Assist management team in coordinating and carrying out department, division, and county goals and activities Assist the Director with the preparation of the annual operating budget and various periodic reports Assist in creating and maintaining operational, reference, and fiscal files (using manual and computerized files and filling systems); provide data for regular reports and for evaluation purposes Assist in the updating of the Office of Agriculture Sharepoint and other websites May direct and/or coordinate work among other administrative staff Perform other related duties as required To perform this job successfully, an employee must be able to perform all essential functions satisfactorily. Associate's degree Minimum of 3 years of work experience in administrative support, customer service, secretarial occupation, or a related field Substitutions for the above-listed required education and experience are a Bachelor's Degree with 1 year experience as described above or a High School Diploma with 5 years experience as described above. Strong and effective spoken and written (English) communication skills Effectively communicate between county departments; anticipate needs and deliver solutions proactively Ability to use discretion and good judgment in dealing with confidential matters and sensitive information Strong clerical and record-keeping skills, including the ability to accurately perform basic math and financial functions; ability to accurately compile and prepare statistical data and reports Strong attention to detail Ability to maintain a pleasant, professional demeanor while dealing with the public in a wide variety of circumstances Ability to effectively access and utilize Microsoft 365, e-mail, spreadsheet and other systems and equipment, and to learn new software as it is required Ability to effectively organize work, determine priorities, including the ability to make decisions and complete assigned duties with minimal supervision in a fast-paced office Ability to develop and maintain effective working relationships with co-workers, farmers, board members, external partners, government officials and the general public, using diplomacy and professionalism in all situations
PREFERENCE MAY BE GIVEN FOR
Work experience in or with the Agriculture Industry Bachelor's Degree in Business Administration, Finance, or a related field Experience using INFOR Budget work experience Additional work experience in customer service
PHYSICAL REQUIREMENTS/WORKING CONDITIONS
