Job Description
Description We are looking for an Administrative Coordinator to support project operations and office functions for a long-term, part-time contract position based in Laurel, Maryland. This role will help keep project records, financial entries, and team communications organized while ensuring information remains accurate across multiple systems. The ideal candidate brings strong administrative experience, a careful approach to documentation, and the ability to manage competing priorities in a highly organized team environment.
Responsibilities:
Manage budget-related entries, financial commitments, invoice records, payment details, and change documentation within project tracking systems.
Review project information for completeness and accuracy, ensuring records remain consistent across administrative and reporting platforms.
Provide day-to-day administrative support to project teams, including preparing reports and maintaining organized files.
Monitor invoices, payment applications, and change requests to help keep project activities current and properly documented.
Maintain project logs, records, and supporting documentation throughout the project lifecycle.
Assist with project closeout by organizing final documents and preserving complete recordkeeping files.
Coordinate meetings, scheduling, and team communications to support smooth project execution.
Carry out additional administrative assignments as needed to meet departmental or project goals. Requirements
High school diploma or equivalent is required.
At least three years of experience in an office or administrative setting.
Strong attention to detail with the ability to organize, track, and maintain accurate information.
Effective written and verbal communication skills, along with a collaborative and detail-focused work style.
Proficiency with Microsoft Office applications and general administrative software tools.
Strong time management skills with the ability to prioritize tasks and follow through on deadlines.
Ability to learn and use project management platforms; experience with systems such as Procore or Trimble Unity Construct is preferred.
