Job Summary:
As part of our commitment to providing exceptional service, RAM Construction Services is seeking an Administrative Coordinator to provide administrative and project engineering support throughout the project lifecycle. Under the Director's direction, this role supports Estimators, Project Managers, and Project Engineers by coordinating documentation, communication, and project controls. This position also performs entry‑level Project Engineer functions , assisting with planning, documentation, and coordination to support successful project execution. The ideal candidate has prior experience in construction, contracting, or a related project-based environment and thrives in a fast-paced, detail-driven role. Key Responsibilities Administrative & Project Coordination Assist Estimators, Project Managers, Superintendents, and Project Engineers with preparation, tracking, and maintenance of project documentation, including contracts, submittals, change orders, T & M Reports and progress reports Coordinate communication between internal project teams, clients, subcontractors, and vendors to ensure timely and accurate information flow Entering and maintaining pending change order logs for all projects Processing change orders and logging them in systems and listing them on AIA Handling submittals, LEED documents, communicating with architects, and GC for approval Maintain organized and accurate project files and records in both digital and physical formats Compose, edit, and distribute reports, correspondence, and meeting documentation Support multiple projects simultaneously while monitoring deadlines, priorities, and deliverables Complete special assignments as needed, monitor progress, and assist with adjustments to project plans Project Engineer Support Responsibilities Support document control for drawings, specifications, and revisions Assist with cost tracking, job cost reporting, and basic project controls under the direction of the Project Manager or Project Engineer Prepare and maintain project logs, spreadsheets, and tracking tools Time & Material Reports, tracking labor, material, and equipment on projects
Education:
Minimum of a High School Diploma or equivalent.
Preferred Qualifications:
Associate's degree in Business Administration, Construction Management, Engineering, or a related field Experience supporting multiple projects or project teams simultaneously Interest in career growth toward Project Engineer or Project Manager roles
Experience, Knowledge, and Abilities Required:
Minimum 2-4 years of administrative experience , preferably in a construction or project‑based environment Familiarity with construction processes, terminology, documentation, and workflows Experience supporting Estimators, Project Managers, Superintendents, and/or Project Engineers Strong data entry, document control, and file management skills Ability to use discretion and maintain confidentiality of proprietary and sensitive information Excellent verbal and written communication skills Strong organizational skills with close attention to detail Ability to multitask, prioritize, and work under time constraints Ability to work independently and collaboratively; proactive and solution‑oriented High degree of professionalism, maturity, and sound business judgment Customer‑service oriented with a positive, team‑focused attitude
Technology:
Knowledge of construction management software preferred (e.g., Procore ), but not required Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) Experience with Adobe and Bluebeam preferred Proficiency with Acumatica and Procore is a plus
Work Environment:
The Administrative Coordinator will work in a collaborative, indoor office setting alongside fellow team members. This role requires regular interaction with colleagues across departments and involves extended periods of computer-based work in a structured and supportive environment.
