Administrative Coordinator / Administrative Assistant Guardian Wealth Management, LLC — St. Louis (Sunset Hills) Guardian Wealth Management is a boutique, independent financial planning firm serving everyday families throughout the St. Louis area. We specialize in retirement planning, estate planning, and tax strategy. Helping clients navigate some of life's most important financial decisions with clarity and confidence. As a Registered Investment Advisor with an integrated fiduciary investment management platform, we provide a true "one-stop" experience for our clients. Our firm actively supports a local nonprofit focused on financial literacy and retirement readiness through both volunteer efforts and pro bono work. The Opportunity We are seeking a highly organized, detail-oriented Administrative Coordinator / Administrative Assistant to work directly with the Principal Financial Planner and Operations Manager. This role is central to the firm's day-to-day operations and client experience. You will be responsible for ensuring everything runs smoothly, from client interactions to internal coordination, while helping support the continued growth of the firm. This is a fast-paced, high-accountability role best suited for someone who takes pride in precision, enjoys being relied upon, and genuinely cares about the quality of their work. Key Responsibilities Manage calendars, scheduling, and daily workflow for the financial planner Serve as a primary point of contact for clients via phone, email, and in person Prepare, review, and process new account paperwork and service requests Ensure all materials are organized and ready ahead of client meetings Coordinate client meetings, including office setup and hospitality Assist with planning and execution of marketing and speaking events Proofread and format client-facing documents and communications Maintain accurate data entry across systems and databases Handle general administrative functions (filing, document management, office organization) Help create a polished, professional, and welcoming office environment Qualifications Prior experience in an administrative, executive assistant, or coordinator role required Experience in financial services, insurance, or a professional services firm preferred Strong attention to detail with a high standard for accuracy and organization Ability to manage multiple priorities and meet deadlines in a fast-paced environment Excellent written and verbal communication skills Proficiency in Microsoft Office (Outlook, Word, Excel) Familiarity with Google Workspace and Adobe/PDF tools is a plus Strong client service mindset with a professional and polished demeanor What We're Looking For This role is not just about completing tasks, it's about ownership and care.
