Employment Type:
Temporary, Full-time, Academic Year (September 2026-May 2027, with potential for extension) Our client is seeking an Administrative Coordinator to provide administrative support for academic appointments, policies, promotions, and related university functions. The ideal candidate will be highly organized, detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced higher education environment.
Responsibilities:
Process academic appointments, reappointments, searches, salary changes, and promotions. Advise faculty and academic units on hiring, compensation, onboarding, leaves, terminations, and appointment policies. Support postdoctoral and research scholar appointments and related administrative processes. Manage workflows and systems including Interfolio, OnBase, eForms, Point, and databases. Support promotion committees by coordinating materials, referee letters, meetings, agendas, and technology needs. Respond to policy and system inquiries and assist with updating procedures and documentation. Identify process improvements, troubleshoot workflow issues, and recommend solutions. Support professional development events and other academic administration projects as assigned.
Requirements:
Bachelor's degree and minimum of 5 years of professional experience required. Experience in higher education administration preferred; Master's degree and 7+ years of experience preferred. Excellent written and verbal communication and interpersonal skills. Strong organizational skills, attention to detail, and ability to multitask. Strong problem-solving skills and ability to conduct research and analyze information. Ability to handle confidential matters with discretion and exercise sound judgment. Proficiency with spreadsheets and ability to quickly learn new software and systems.
