Job Description

Administrative Operations Manager Base Salary Range:
$55,000 - $75,000 annually (Based on Experience)
POSITION SUMMARY
Innovative Electric, LLC is seeking a highly organized, proactive, and detail-oriented Administrative Operations Manager to oversee daily administrative and operational functions while enabling company leadership to focus on business growth, contract bidding, and field operations. This role is designed to help transition the company from a largely owner-managed administrative structure into a scalable, process-driven organization. The Administrative Operations Manager will be responsible for managing office and operational systems, supporting contract and bidding opportunities, coordinating human resources functions, maintaining compliance requirements, and improving overall business efficiency. Serving as the central point of coordination between ownership, field personnel, vendors, and external partners, this individual will help ensure projects remain on track, deadlines are met, and opportunities are effectively managed. Success in this position requires strong organizational skills, attention to detail, initiative, and the ability to implement structure and processes that support long-term growth.

WHAT SUCCESS LOOKS LIKE
Administrative and operational functions run efficiently with minimal day-to-day owner involvement. Increased bid submissions and improved contract win rates through effective organization and follow-up. Accurate tracking and maintenance of licenses, certifications, contracts, insurance policies, and compliance requirements across multiple states. Timely payroll support, invoicing, and document processing with minimal errors. Strong communication and collaboration between office personnel, field crews, and leadership. Effective systems and workflows that support operational efficiency and company growth. Improved accountability, visibility, and organization across all administrative functions. KEY RESPONSIBILITIESOperations & Administration Take ownership of administrative and operational processes, creating consistency, accountability, and structure across the organization. Develop, implement, and maintain systems that improve efficiency and support business growth. Support leadership with reporting, scheduling coordination, business planning, and operational decision-making. Monitor administrative workflows and identify opportunities for continuous improvement. Serve as a key point of contact between leadership, employees, clients, vendors, and external partners. Bidding & Contract Support Track, organize, and support contract bidding opportunities to ensure no viable projects are missed. Coordinate bid documentation, submission timelines, and follow-up activities. Maintain records related to contracts, project requirements, and procurement documentation. Support leadership throughout the bidding and contract administration process. Human Resources & Recruitment Manage and maintain a professional recruitment process, including overseeing job postings, managing the Indeed page, coordinating interviews, and supporting hiring activities. Assist with employee onboarding and offboarding processes. Maintain employee records, documentation, and personnel files. Support benefits administration and HR compliance initiatives. Assist leadership in addressing employee documentation and workforce-related needs. Compliance & Documentation Management Organize and maintain company licenses, certifications, permits, insurance policies, and compliance records. Track renewal dates and ensure all documentation remains current across multiple states. Maintain accurate and secure company records and operational documentation. Support compliance with applicable industry, state, federal, and contractual requirements. Payroll, Invoicing & Vendor Coordination Coordinate payroll support activities, including timesheet collection and record verification. Assist with invoicing, purchase orders, billing documentation, and payment tracking. Manage vendor communications and maintain vendor-related records. Support basic accounting and administrative financial processes as needed. Field & Project Coordination Strengthen communication and coordination between field crews and leadership. Help ensure project information, schedules, and documentation are communicated accurately and efficiently. Support project execution through organized administrative oversight and follow-up.
EDUCATION
& EXPERIENCERequired Qualifications Minimum of three (3) years of experience in office management, operations management, administrative leadership, or a related role. Demonstrated ability to develop, implement, and manage systems and processes within a growing organization. Experience supporting project coordination, bidding activities, construction operations, or similar business functions preferred. Knowledge of human resources processes, including onboarding, benefits administration, and employee documentation. Experience with payroll support, invoicing, and basic accounting procedures. Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Strong organizational, communication, problem-solving, and time-management skills. Ability to work independently, prioritize responsibilities, and take ownership of key initiatives. High level of professionalism, discretion, and attention to detail. Preferred Qualifications Experience within the electrical contracting, construction, engineering, or skilled trades industries. Familiarity with federal, tribal, municipal, or government contracting processes. Experience supporting procurement, contract administration, or project management functions. Working knowledge of QuickBooks or similar accounting software. Experience managing multi-state licensing, compliance, and regulatory requirements. Understanding of workforce management, employee benefits administration, and HR compliance practices. Proven ability to identify operational inefficiencies and implement process improvements.
