Full Job Description Job Summary:
We are seeking a full-time Administrative Coordinator to work onsite in our Henderson office. The Administrative Coordinator provides day-to-day administrative support for the company while serving as a professional and helpful point of contact for customers, employees and vendors. This position is responsible for assisting with accounts receivable and collections, payroll administration, customer communications, scheduling support, data entry and general office duties. The ideal candidate is organized, dependable, detail-oriented, comfortable handling confidential information and able to communicate professionally with customers and employees. Strong telephone skills and the ability to follow through on outstanding balances are essential.
Essential Duties and Responsibilities:
General admin duties: Prepare correspondence, reports, spreadsheets and other office documents. Assist management with administrative projects and special assignments. Maintain confidentiality of company, customers and employee information. Perform other administrative duties as assigned.
Customer service:
Answering incoming calls promptly and professionally. Assist customers and/or vendors with questions regarding appointments, invoices, payments and general company information. Maintain a courteous and professional attitude during interactions.
Payroll Administration:
Assist with weekly payroll processing and review when necessary. Cross train to review timesheets for accuracy and follow up on missing or incorrect information. Maintain confidentiality of employee and payroll information.
Accounts Receivable & Collections:
Monitor customer accounts and outstanding balances. Follow up on past-due invoices according to company procedures. Identify discrepancies and communicate issues to management or accounting. To excel in this role, you should possess: Strong communication and interpersonal skills: The ability to clearly and concisely communicate with customers, technicians and colleagues, both verbally and in writing.
Excellent organizational skills:
The ability to prioritize tasks, manage multiple deadlines and maintain an organized workspace.
Proficiency in computer applications:
Familiarity with word processing, spreadsheets and email software is essential.
Customer service focus:
A commitment to providing exceptional customer service, addressing inquiries promptly and professionally.
Teamwork and collaboration:
The ability to work effectively with a team and collaborate across different departments.
Admin experience:
Previous administrative, office, accounting, collections or customer service experience preferred.
Payroll knowledge:
