Job Description
Description Katie Weigel with Robert Half Finance and Accounting is recruiting to fill an Administrative Coordinator position for a closely held company in the Reno area.
Primary Responsibilities:
- Proactively manage and coordinate complex, high-volume calendars of the various team members, scheduling internal and external meetings, conference calls, and other interactions with meticulous attention to detail.
- Coordinate internal and external meeting logistics, ensuring all participants have necessary materials and technical support.
- Serve as a primary point of contact for external partners and grantees regarding scheduling and logistics.
- Organize and book comprehensive domestic and international travel arrangements, including airfare, lodging, and ground transportation.
- Process expense reports with high attention to detail.
- Collaborate with cross-functional teams to streamline communication and assist with successful delivery of Quest projects as needed.
- Contribute to special projects as needed, such as event planning for internal and external events.
- Other duties as assigned.
Qualifications:
- Bachelor's degree preferred, or equivalent professional administrative experience.
- 5+ years of experience in an administrative support role, ideally supporting multiple team members.
- Proven track record of success in managing high-stakes scheduling and complex travel logistics for teams.
- Strong communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
- Excellent proactive problem-solving and analytical abilities to resolve scheduling conflicts and logistical hurdles.
- Exceptional organizational skills and the ability to work both independently and as part of a team in a fast-paced environment.
- Ability to demonstrate initiative and resourcefulness.
- Proficiency in Gmail, including Google Calendar, Microsoft Office Suite applications and Google Drive applications.
- Discretion and confidentiality in handling sensitive information and maintaining a high level of professionalism.
- Bachelor's degree preferred, or equivalent experience in administrative roles requiring attention to detail.
- Minimum of 5 years of experience in administrative support roles, preferably managing multiple team members.
- Proven expertise in handling complex scheduling and travel arrangements, including international travel.
- Strong communication and interpersonal skills to engage effectively with diverse stakeholders.
- Excellent organizational skills and the ability to work both independently and collaboratively in a fast-paced environment.
- Proficiency in Gmail, Google Calendar, Microsoft Office Suite, and Google Drive applications.
- Demonstrated ability to exercise initiative and resourcefulness in problem-solving.
- Commitment to maintaining confidentiality and high standards in all aspects of the role.
