Job Description

Katie Weigel with Robert Half Finance and Accounting is recruiting to fill an Administrative Coordinator position for a closely held company in the Reno area.
Primary Responsibilities:
  • Proactively manage and coordinate complex, high-volume calendars of the various team members, scheduling internal and external meetings, conference calls, and otherinteractions with meticulous attention to detail.
  • Coordinate internal and external meeting logistics, ensuring all participants havenecessary materials and technical support.
  • Serve as a primary point of contact for external partners and grantees regardingscheduling and logistics.
  • Organize and book comprehensive domestic and international travel arrangements,including airfare, lodging, and ground transportation.
  • Process expense reports with high attention to detail.
  • Collaborate with cross-functional teams to streamline communication and assist withsuccessful delivery of Quest projects as needed.
  • Contribute to special projects as needed, such as event planning for internal andexternal events.
  • Other duties as assigned.
Qualifications:
  • Bachelor's degree preferred, or equivalent professional administrative experience.
  • 5+ years of experience in an administrative support role, ideally supporting multipleteam members.
  • Proven track record of success in managing high-stakes scheduling and complex travellogistics for teams.
  • Strong communication and interpersonal skills, with the ability to interact professionallywith diverse stakeholders.
  • Excellent proactive problem-solving and analytical abilities to resolve scheduling conflicts and logistical hurdles.
  • Exceptional organizational skills and the ability to work both independently and as part of a team in a fast-paced environment.
  • Ability to demonstrate initiative and resourcefulness.
  • Proficiency in Gmail, including Google Calendar, Microsoft Office Suite applications and Google Drive applications.
  • Discretion and confidentiality in handling sensitive information and maintaining a highlevel of professionalism.
