About the Position Live-USA Inc. is seeking a highly organized, proactive, and detail-oriented Administrative Coordinator to provide administrative support to senior leadership and assist with the company's continued growth and expansion. This is a fast-paced position with a variety of responsibilities, including supporting the takeover and transition of multiple Hard Rock Cafe locations, coordinating vendor applications, organizing business documents, tracking projects, and assisting with day-to-day administrative needs. The ideal candidate is organized, dependable, professional, and able to manage multiple priorities while maintaining excellent attention to detail and follow-through. Key Responsibilities Provide administrative support to senior leadership. Manage calendars, meetings, correspondence, documents, and follow-up items. Assist with the administrative coordination of multiple Hard Rock Cafe takeovers and transitions. Maintain checklists, spreadsheets, files, and tracking documents for each transition. Assist with gathering and organizing contracts, licenses, permits, insurance information, vendor information, and other business documentation. Complete and coordinate vendor applications, credit applications, account setup forms, and other administrative paperwork. Track outstanding items, deadlines, and requests and follow up to ensure completion. Prepare and maintain spreadsheets, reports, presentations, and other business documents. Organize electronic and physical files and maintain accurate records. Assist with scheduling and coordinating logistics. Assist with occasional travel arrangements and executive travel coordination. Support special projects and other administrative needs as the company continues to grow. Handle confidential and sensitive information with discretion. Perform other duties and projects as assigned. Qualifications Previous administrative, coordination, executive assistant, or similar experience preferred. Excellent organizational and time-management skills. Strong attention to detail and follow-through. Excellent written and verbal communication skills. Ability to manage multiple priorities and deadlines. Proficiency with Microsoft Office, particularly Outlook, Word, and Excel. Professional and comfortable communicating with executives, vendors, and outside business partners. Ability to work independently, take initiative, and anticipate what needs to be done. Strong problem-solving skills and a willingness to learn. Ability to maintain confidentiality. Experience in hospitality, restaurants, business development, acquisitions, or multi-location operations is a plus. Ability to travel occasionally as business needs require.
Pay:
$27.00 - $33.00 per hour Expected hours: 30.0 - 40.0 per week
