Overview We are seeking a dynamic and highly organized Administrative Coordinator to join our team! This vital role offers an exciting opportunity to streamline office operations, support team members, and ensure the smooth functioning of daily activities. As an energetic and proactive professional, you will be the backbone of our administrative functions, providing exceptional support across various departments. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Handle multi-line phone systems, answer inquiries promptly, and route calls efficiently to ensure excellent customer service. Maintain organized filing systems, perform data entry, and oversee document proofreading to uphold accuracy and professionalism. Coordinate calendar management, schedule appointments, meetings, and events using tools like Google Workspace and Microsoft Office. Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software. Provide customer support through effective communication, addressing inquiries via phone or email with a friendly and helpful attitude. Assist with clerical duties including typing correspondence, managing data entry tasks, and ensuring timely completion of administrative projects. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with QuickBooks for bookkeeping and basic office accounting tasks. Excellent phone etiquette with experience managing multi-line phone systems. Bilingual abilities are a plus to serve diverse client needs effectively. Previous experience as a receptionist or personal assistant is highly desirable. Strong computer literacy, typing skills, and attention to detail for proofreading and data entry tasks. Ability to multitask efficiently while demonstrating excellent time management skills in a fast-paced environment.
