Job Description

Overview OnAim Conservation, a sculpture conservation company, is looking for an experienced administrative coordinator to join our team. This position is responsible for handling back-office operations such as general bookkeeping tasks and expense tracking, payroll, scheduling and managing supporting administrative tasks, as well as digital file management and archiving. Previous experience as a scheduler, office coordinator, or office administrator is required. The candidate should be computer literate and have basic writing skills. They should be able to work alone and have basic time management skills. This is a full-time in-person job. The standard work hours are Monday through Friday, 9:00 AM to 3:00 PM. The candidate would be able to do some work remotely after 6 months. Other benefits available after a year. Responsibilities Manage accounts payable and receivable Track expenses and scan receipts Order office and shop supplies Process payroll File quarterly sales tax Prepare contracts for upcoming treatments Coordinate treatment schedules with clients. Address scheduling conflicts, delays, and job-related issues promptly and update as needed. Maintain accurate schedules, project details, and customer records. Database management Digital file management and back-up Mailing list management Knowledge of art history and an interest in art and outdoor sculpture is a plus Qualifications and Skills Previous experience as a scheduler, office coordinator, administrative assistant, or office administrator is required. Strong organizational and planning skills. Excellent written and verbal communication skills. Ability to multitask and prioritize in a fast-paced environment. Strong attention to detail and problem-solving skills. Knowledge of general office procedures and administrative systems. Ability to communicate professionally with clients and team members. Service installation or construction industry experience is a plus. Additional administrative training or qualifications are a plus.
Required software knowledge:
Mac System and basic functionality Google Suite (gmail, google docs, google sheets, google photos) Quickbooks Airtable Adobe Suite (adobe acrobat a must, photoshop a plus)
Language :
English required. Conversational Spanish is a plus.
Pay:
$25.00 - $28.00 per hour Expected hours: 30.0 - 35.0 per week
