Job Description

Description of Job Duty:
Provides administrative support to the Art department. Tennessee Tech is an Equal Opportunity/Affirmative Action employer.
Minimum Qualifications:
High school diploma or equivalent and a minimum of 2 years clerical experience. Computer and keyboard skills. Experience with various office software such as Microsoft Office. Ability to communicate effectively with diverse constituencies. Positive customer service attitude. Ability to maintain effective working relationships. Ability to solve problems and work with progressive independence. Ability to organize and prioritize tasks for oneself and others.
Preferred Qualifications:
Associates Degree or 60+ credit hours of higher education. Familiarity with university environments and working with university faculty, staff, and students. Bookkeeping experience. Knowledge of Banner or comparable higher education information systems. Experience with art curricula. Experience with art students and faculty. Experience with gallery management.
Essential Functions:
Coordinates and manages the operation of the Art Department office. Exercises judgment and problem-solving skills regarding matters of fiscal and student records, departmental operations and communications, and monitoring adherence to TTU policies and procedures. Interprets circumstances and data and decides upon a course of action. Coordinates departmental communications with the public and University offices. Handles all incoming and outgoing mail. Maintains correspondence and scheduling with faculty, staff, university personnel, vendors, etc. Schedules, tracks and corresponds with prospective students. Coordinates recruitment activity with SAC&D Director, art faculty, admissions office, and Craft Center office staff. Assists the Director in preparation of the School of Art, Craft, & Design budget, ensures adherence to policy and procedures, and monitors processes and documentation for accuracy. Maintains department budget and fiscal records in Talon and TalonBud, produces budget reports. Pay invoices, process requisitions, track departmental purchases, make office supply orders, process travel requisitions, prepare interdepartmental transfers, budget revisions, etc. Oversees and tracks use of Procards in Talon Expense module. Maintain confidential employee files, prepares leave and extra time reports for faculty and staff. Prepare paperwork for new employees, adjunct faculty, and faculty summer pay. Supervise student workers and maintain student worker payroll. Provide staff support for promotion/tenure and search committees. Maintains art curriculum in Coursedog system, and updates schedule each semester. Assists students with registration and coordinates student advising with COFA advisors each semester. Maintains student records.

Work Hours:
Typical hours are Monday through Friday, 8 a.m. - 4:30 p.m.

Salary:
Commensurate with education and experience. Level S2, Grade 6.
