M-F, 7:00 AM - 4:00 PM Position Summary The Administrative Coordinator serves as the first point of contact for visitors, drivers, vendors, and employees at the Nashville office. This role is responsible for providing professional front office support, managing incoming calls and deliveries, coordinating office supplies and facility needs, and assisting the Truck Operations team with driver accommodations and transportation arrangements. The ideal candidate is highly organized, customer-focused, and able to manage multiple priorities in a fast-paced environment. Responsibilities Greet and assist all visitors, including drivers, vendors, and guests, in a professional and welcoming manner. Answer, screen, and direct incoming mainline phone calls to the appropriate departments or personnel. Provide administrative support to the Truck Operations team by scheduling hotel accommodations and arranging Lyft transportation for drivers as needed. Order and maintain inventory of office supplies, driver snacks, and Bevi supplies. Process and coordinate all FedEx, UPS, and USPS shipments and deliveries in a timely manner. Coordinate with vendors regarding facility maintenance, repairs, and office service needs. Maintain a clean, organized, and fully stocked front lobby area, including driver materials such as MM sheets, delivery receipts, and informational documents. Fold, organize, and restock driver T-shirts in the front office storage area. Monitor inventory levels in the mailroom and breakroom and order supplies as needed. Retrieve mail from the post office box on Tuesdays and Thursdays after 10:00 a.m. Assist with new driver orientation preparation by assembling weekly welcome bags. Run monthly postage reports and refill the postage meter as needed. Qualifications & Experience Previous administrative, receptionist, or front desk experience preferred. Proficiency in Microsoft Office Suite and general computer applications. Strong data entry and organizational skills with a high level of accuracy and attention to detail. Excellent interpersonal and customer service skills with the ability to remain professional and composed in a fast-paced environment. Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines effectively. Strong written and verbal communication skills.
