Accordingly, if you will now or in the future require sponsorship for employment visa status this moratorium may affect our ability to employ you should you be selected as the final candidate. ______________________________________________________________________________ Under general supervision, the Senior Administrator Coordinator I provides various management, administrative, and planning support to the Dean of the Whitlowe R. Green College of Education and assists other departments in the College with activity coordination as needed. The salary is determined in accordance with the University's compensation structure and will be commensurate with the candidates' education and experience, within the assigned salary range for this position.
Responsibilities:
Management Support duties: Provides management of daily routine tasks for the Office of the Dean; maintains the Dean's calendars and assists with classroom scheduling and college conference room scheduling; provides logistical and administrative support for events, meetings, and specialized activities. Creates and/or assists with the creation of meeting materials (i.e. handouts, PowerPoint or related presentation development) and monitors documents to ensure accuracy and timely submission as well as maintain a log to track all incoming and outgoing documents. Facilitates and assists with all Senior Leadership and College-wide meetings and keeps the official minutes of each meeting as well as serves as an information resource on operational methods and processes. Maintains public relations and professional disposition with administrators, faculty, staff, students, donors, and community members.
Administrative Support Duties:
Prepare and distribute letters and memoranda to faculty and students. Work with vendors to purchase college swag material and gift items. Serves as backup to the Building Coordinator; prepares all work orders concerning building maintenance and upkeep. Routinely interact with the Banner System and provides the Dean, Associate Deans, Department Head, Directors, and Budget Specialist II with data for registration, course scheduling, and graduation; enters data into the Banner System, review, and correct data in Banner INB and Panthertracks after departments have built their course schedules. Enter overrides in the system after securing the Dean's approval; reviews and enters Requests for Incompletes in Banner after Dean's approval; monitor mid-term and final missing grade submissions and provides status reports to Department Heads and the Dean; works closely with the Registrar and Course Scheduler to interpret and disseminate information to the departments in the College of Education. Coordinates the maintenance of files, records, references, resource materials, and workroom organization as well as conducts annual inventory and completes necessary documentation for missing/lost and surplus equipment. Works with college-designated IT Specialist to ensure faculty and staff and classroom equipment throughout college functions properly. Coordinates the planning and completion of infrastructure related projects on time and on budget for the WRGCOE facility while serving as the primary contact for work orders (i.e. interior projects include but are not limited to office moves/relocations, carpeting/tiling office spaces and hallways, construction of new office/meeting spaces, painting hallways, offices, and classrooms as well as installation of office cubicles and related electrical, fiber and lighting; exterior projects include but are not limited to maintenance and improvements such as lighting, irrigation systems, and landscaping). Orders equipment and materials as well as monitors purchasing of supplies in accordance with university policy as well as order and distributes division and program office supplies for the Office of the Dean Coordinates Human Resources support for all WRGCOE faculty and staff employees to include but limited to coordinating annual evaluations, monitoring another performance evaluation deadlines, ensuring all complete annual training requirements as well as making recommendations for process improvements, new initiatives, and related and assists to ensure any university deadlines and activities are fulfilled. Prepares travel requests and travel expense reports for the Dean and assists faculty members on domestic and international travel on an as-needed basis. Reconciles ProCard Transaction for the Dean and related staff in the Office of the Dean as well as serves as the primary point of contact for the College of Education with Human Resources, and related business units at the University. Performs other duties as assigned.

Preferred Qualifications:
Seven years of experience in educational setting.
Special Requirements:
Applicants with equivalent experience in place of a Bachelor's degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency of a Bachelor's degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of ten years of experience.
