Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Coordinator to join our Construction team! This vital role ensures the smooth operation of daily office activities, providing exceptional support across various departments. The ideal candidate will demonstrate excellent organizational skills, strong communication abilities, and proficiency with office management tools. As an energetic and proactive team member, you will handle a diverse range of administrative tasks, contribute to efficient office workflows, and foster a welcoming environment for staff and visitors alike. This paid position offers an exciting opportunity to develop your administrative expertise within a collaborative and growth-oriented setting. Responsibilities Travel to various job sites to monitor progress and ensure compliance with project specifications. Communicate with contractors, subcontractors, and team members to resolve om-site issues. Oversee multi-line phone systems, ensuring prompt and courteous customer support and internal communication Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and other computer tools for administrative tasks Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives Handle clerical duties including typing, photocopying, faxing, and organizing files with precision Support bookkeeping activities and basic office management functions to ensure operational continuity Assist with customer service initiatives by providing timely support via phone or email while maintaining excellent phone etiquette Provide personal assistant support when needed, including travel arrangements or special project coordination Qualifications Proven experience in office administration or clerical roles with a strong background in office management Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Exceptional communication skills, including bilingual abilities preferred for diverse customer interactions Demonstrated time management skills with the ability to prioritize tasks effectively Attention to detail in proofreading documents and managing records accurately Knowledge of multi-line phone systems and phone etiquette standards Prior experience supporting customer service initiatives or providing customer support is highly valued Join us as an Administrative Coordinator to play a key role in maintaining an organized, welcoming office environment while supporting our team's success.
