Full-Time, In-Office About FILO Financial Institution Lending Options (FILO) is a Wisconsin-based auto finance company founded in 2001. We partner with automobile dealerships and financial institutions across Wisconsin, Illinois, and Minnesota to deliver reliable, relationship-driven lending solutions. About the Role FILO is seeking a highly organized and proactive Administrative Coordinator to support the President/CEO and senior leadership team. This role is ideal for someone who thrives in a fast-paced environment, maintains strict confidentiality, and brings strong executive-level administrative skills. Key Responsibilities Executive Support — Manage calendars, travel arrangements, office supplies, and facility needs Meeting Coordination — Prepare agendas, materials, and minutes for leadership and department meetings Board Reporting — Draft and assemble monthly Board package/report Dealer Onboarding — Collect required documentation and set up approved dealer relationships in internal systems Client Setup — Coordinate signing and onboarding of new financial‑institution clients, including welcome meetings and month‑end reporting support Vehicle Titling — Monitor and maintain income vehicle titling inquiries CRM Management — Maintain contact lists and records in internal and dealer CRMs Office Operations — Sort/process mail, answer phones, and assist with client/dealer inquiries Process Improvement — Identify opportunities to streamline workflows and support leadership-driven projects Qualifications 3+ years of administrative experience (or equivalent education/experience) Proven ability to handle highly confidential information with integrity Strong organization, time‑management, and prioritization skills Excellent written and verbal communication abilities Advanced Microsoft Office proficiency; ability to learn new tools quickly Sound judgment and ability to work independently Professional demeanor and adaptability in a dynamic environment Compensation & Benefits $28.00-$32.00 per hour 401(k) with company match Health, Dental & Vision insurance Health Savings Account (HSA) with employer contribution Paid time off Schedule & Work Environment Full-time, in-office role Monday-Friday, 9:00 AM - 5:00 PM Located in Mukwonago, WI If you're a polished, dependable professional who enjoys supporting leadership and keeping operations running smoothly, we encourage you to apply .
