The Nonprofit Grants Accountant works with the Senior Accountant, Director of Operations, Director of Programs, and Executive Director to ensure compliance with GAAP and federal, state, and local funding regulations. Responsibilities include managing accounts payable, payroll, grant finance, monthly reporting, and audit preparation. Duties and Responsibilities Accounts Payable / Bill Management Manage all accounts payable and properly code expenses to grants or programs. Manage vendor relations, prepare and present weekly AP reports to the CEO, and print checks. Enter and record staff and board member expense reports, in addition to bank and credit card transactions. Reconcile all bank and credit card accounts. Cash and Cash Receipts Post daily cash receipts, including merchant account transactions and physical checks. Maintain and update weekly cash flow reports for management. Interface with the Membership Coordinator and enter membership database data into the general ledger. Payroll Maintain and run payroll for a staff of 60 employees. Monthly Accruals and Journal Entries Maintain asset and depreciation schedules and post monthly depreciation. Maintain and post accrued salary and monthly leave accruals. Maintain and post other month-end journals and accruals. Grant Finance Prepare and submit grant invoices. Provide financial oversight for funds related to grant projects. Monitor and track each program's status throughout its life cycle. Work with grant managers and advise management team on preparing grant budgets for proposals. Once awarded, monitor expenses for allowable uses of grant funds. Prepare budget-to-actual grant spending reports. Reporting Prepare monthly financial report packages. Develop budgets and budget narratives. Audit Serve as point of contact for annual audits. Prepare year-end schedules and other data requested by auditors. Computer and Technology Skills Maintain accounting and timekeeping systems, including adding, monitoring, and closing grant job codes and importing data into QuickBooks. Demonstrate strong systems and technical experience with accounting software and maintaining system interfaces. Qualifications and Requirements Bachelor's degree in Accounting, Finance, or related field, or equivalent work experience. Five or more years of accounting experience, with at least two years in a nonprofit or government setting; nonprofit and grant experience preferred. Experience with QuickBooks (desktop version, multi-user, hosted environment) and online timekeeping systems. Experience managing and running payroll. Proficiency in Microsoft Excel and ability to reconcile large transactional files (pivot tables and VLOOKUP experience preferred). Demonstrated experience overseeing complex grant and contract agreements. Knowledge of U.S. federal, state, and local funding sources and regulatory requirements. Strong communication skills with the ability to interact with all levels of personnel. Ability to manage multiple projects in a fast-paced environment and meet deadlines. Excellent organizational skills and attention to detail. Demonstrated ability to work effectively in a team and independently; problem-solving skills required. Experience working with homeless service agencies preferred. Strong knowledge of GAAP and ability to interpret government regulations. Ability to explain work clearly and respectfully to diverse audiences, including people experiencing homelessness and mental health challenges. Must possess a valid Driver License and reliable transportation for job-related travel. Must meet insurance carrier requirements for approval to drive agency vehicles. Employees must carry active and adequate auto insurance corresponding to regulatory requirements if driving any vehicle not owned or leased by Ascencia on agency-related business.
