Job Description

This Construction Billing Specialist will provide billings/accounts receivable and subcontractor payables support in a fast-paced construction office environment. The candidate should have a good understanding of construction accounting, be able to communicate confidently and effectively with management, clients and other external third parties.
Responsibilities:
Prepare and record accurate and complete monthly billings for submission to clients/owners on both private and public agency projects. Billings are prepared using AIA and customized billing formats and include supporting backup documentation. Review related project contracts to understand billing schedules and terms. Record and review subcontractor payables against corresponding project billings for accuracy and completeness, along with supporting progress and final releases and other required documentation (i.e. labor compliance affidavits at completion of the project). Prepare, submit, and maintain preliminary notices on projects, as well as related subcontractor notifications. Communicate and coordinate with project management on the approval and timely submission of progress and final retention billings, along with related subcontractor payables. Review the accuracy and timeliness of both contract change orders and subcontractor change orders and effects on subsequent billings and payments to subcontractors. Ensure proper accrual of subcontractor costs based on work performed. Provide project management support on overall status of billings and subcontractor costs. Prepare and review monthly accounts receivable aging reports for senior management review. Follow up on collection of delinquent accounts receivables monthly. Prepare and review monthly subcontractor payables aging reports for senior management review. Follow up on timing of payments to subcontractors with provision of required supporting documentation. Assist in the setting up of retention escrow accounts and subsequent billing at end of project. Provide support for daily cash report detailing collection of receivables and payments made to subcontractors. Understanding and awareness of the timing and expiration of project lien/legal rights, and other compliance requirements Assist with overall monthly accounting close and meeting stated deadlines.
Skills:
Excellent written and verbal skills Experience analyzing documents using critical thinking Exceptional attention to detail to catch errors in complex billings or reconciliations Proficiency in construction accounting software, Vista preferred Strong organizational skills to manage multiple deadlines across projects Effective communication with internal teams (project managers, executives) and external clients
MINIMUM REQUIRED EDUCATION AND/OR FORMAL TRAINING, YEARS OF EXPERIENCE, COMPETENCIES, OR SPECIFIC KNOWLEDGE
A minimum of 3+ years of construction accounting experience Bachelor's degree or equivalent accounting/billings experience is preferred. Advanced knowledge of Microsoft Excel Familiarity with other accounting functions such as AP, Payroll, GL not required but desired. Familiarity with different invoicing systems such as Textura and VPM as well as various City, County and State billing requirements and platforms. Knowledge of federal, state, and city regulations and guidelines as related to construction billing and collections.
