We are seeking a highly motivated, friendly, and detail-oriented Administrative & Insurance Billing Assistant to join our team. In this role, you will be the backbone of our office operations, ensuring our clinicians remain organized and our practice runs smoothly. Position Overview This position is an in-office work position. You will be responsible for managing financial data, handling insurance billing, and providing essential administrative support to staff and clients.
Reconcile, document, and monitor financial data; maintain effective accounting controls. Verify insurance eligibility (including verifying codes/preauthorizations) and track authorization requirements for complex payers (e.g., Tricare, Humana, UMR). Resolve invoice discrepancies, manage client billing questions, and process payments/refunds. Submit claims (Therapy/Testing) via IntakeQ and Headway; manage unpaid invoices and denied/rejected claims.
Administrative Support:
Manage client communications via phone, email, and portal messages. Audit client files to ensure compliance (e.g., Service Agreements, Questionnaires, Insurance/ID verification).
Operations & HR:
Train non-accounting staff on basic accounting procedures. Required Qualifications Excellent interpersonal skills and comfort interacting with new clients. Strong organizational, time management, and problem-solving skills (ability to work independently). "Tech-savvy" with proficiency in Google Workspace, Microsoft Office, PDF software, etc. Ability to maintain HIPAA-compliant documentation and file audit standards. Highly Preferred Qualifications Direct experience with medical billing (specifically in mental health). Knowledge of insurance verification workflows (e.g., calling payers for codes/preauths). Some college education. a supportive setting.
