Full Job Description Job Summary:
PPI Quality & Engineering is seeking a Billing Specialist to strengthen project operations and ensure accurate, timely, and compliant billing processes. This role is responsible for processing and reconciling contractor time and expense reports, preparing client-specific invoices, and coordinating approvals to maintain seamless billing execution. You will partner closely with Project Coordinators, ensure data integrity across ERP and internal systems, and consistently meet aggressive deadlines while upholding PPI's quality standards. This role is well-suited for a detail-oriented professional who thrives in a high-velocity environment and brings precision, accountability, and continuous process improvement to the table.
About the role:
Assist in entering and filing contractor time and expense reports Perform error tracking of timesheet/expense entries Work directly with assigned Project Coordinator to help with any client-specific requirements Reconcile time and expenses between ERP ("Vision") and in-house database ("QAR") Create invoice package per client requirements Submit proper invoice to client for approval and payment per client timeline Follow up on submitted invoices to ensure timely payment Interact with Project Coordinator for approvals and guidance with regards to items being invoiced Complies with PPI Quality Management System and its documented procedures Do you have what it takes?:
REQUIRED 2 - 5
years in billing / invoicing 2 - 5 years in oil and gas industry Proficient in Microsoft Office including Excel and Word Knowledge of basic accounting principles Strong time management and organizational skills Ability to meet tight project deadlines High degree of accuracy and attention to detail Ability to work independently Self-motivated Detail-oriented, resourceful Positive, flexible team-oriented approach, with willingness and desire to work as part of a multi-disciplinary team Strong problem-solving skills, analytic abilities, and work ethics Excellent verbal, written, and interpersonal communication skills DESIRED Deltek experience Open Invoice experience Ariba experience GEP Smart experience What can you expect from us in return?: At PPI Quality & Engineering, you'll join a dynamic, growing organization with a strong, collaborative culture.
