Billing Specialist / Revenue & Tax Accounting Specialist Position Summary Our client located in Mansfield, MA is seeking a detail-oriented and highly organized Billing Specialist to support multi-state billing, sales tax compliance, inter-company accounting, and revenue recognition processes. This role will be responsible for managing billing operations from project award through job completion, supporting month-end close activities, and developing standardized operating procedures (SOPs) across the project lifecycle. The ideal candidate has strong accounting knowledge, experience with multi-state sales and use tax compliance, project-based accounting, and the ability to work cross-functionally with operations, project management, and finance teams. Key Responsibilities Billing & Revenue Recognition Manage customer billing processes from bid/proposal stage through final invoicing and project closeout. Ensure accurate revenue recognition in accordance with company policy and project completion milestones. Support revenue earned recognition upon job completion date. Review contracts, proposals, and job documentation to validate billing requirements and project terms. Prepare and issue progress billings, milestone billings, final invoices, and customer statements. Monitor work-in-progress (WIP) schedules and assist with reconciliation of related deferred revenue and deferred expense accounts. Support month-end and year-end close processes related to project accounting and revenue reporting. Assist with job cost analysis, project profitability reporting, and variance analysis. Sales Tax & Business Registration Compliance Process and maintain sales and use tax compliance activities across 30+ states. Prepare, file, and remit multi-state sales tax returns accurately and timely. Maintain business registrations, licenses, and state tax accounts. Coordinate business registration tax filings and renewals across multiple jurisdictions. Research state and local tax requirements and ensure ongoing compliance with changing regulations. Respond to notices, audits, and inquiries from state and local tax authorities. Inter-Company Accounting Prepare and reconcile inter-company transactions and balances. Ensure proper allocation of costs, revenue, and expenses between related entities. Support monthly inter-company eliminations and reconciliations during close. SOP Development & Process Improvement Develop, document, and maintain SOPs for: Bid and proposal processing Project setup and billing workflows Revenue recognition procedures Tax compliance processes Job completion and closeout activities Identify opportunities for process improvements, automation, and internal control enhancements. Collaborate with finance, operations, and project management teams to improve billing accuracy and workflow efficiency. Qualifications Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. 3+ years of experience in billing, project accounting, revenue accounting, or sales tax compliance. Experience processing sales tax filings in multiple states (30+ states preferred). Knowledge of deferred revenue, WIP accounting, and percentage-of-completion or completed-contract accounting methods preferred. Experience with inter-company accounting and reconciliations. Strong understanding of accounting principles and month-end close processes. Advanced proficiency in Microsoft Excel and accounting/ERP systems. Excellent organizational skills with strong attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Preferred Experience Construction, service-based, engineering, manufacturing, or project-based industry experience. Experience with ERP/accounting systems QuickBooks Enterprise (preferred). Familiarity with Avalara or other sales tax automation platforms. Experience creating process documentation and SOPs. Pay:
$48,000.00 - $50,000.00 per year
