Meal Site Coordinator (Billings Community Center)
Work Schedule:
Wed, Thurs, Friday | 9:00a - 1:00p Job Summary Allies in Aging is committed to enhancing the well-being of older adults through nutrition services, social connection, and meaningful community engagement. Meal Site Coordinator plays a key role in creating a welcoming, safe, and organized congregate dining environment where seniors can enjoy nutritious meals, build relationships, and access supportive interaction each day. This position is responsible for coordinating all daily meal site operations at the Billings Community Center, including meal service preparation, participant support, volunteer direction, activity facilitation, sanitation, donation processing, and required reporting. The Site Coordinator serves as an important front-line representative of Allies in Aging by ensuring each participant receives not only a meal, but a positive and engaging experience rooted in dignity, hospitality, and care.
Essential Duties and Responsibilities:
Meal Site Coordination & Participation Support
  • Prepare the meal site kitchen and dining areas for congregate meal service, including serving lines, ovens, trays, meal containers, beverages, fruits, desserts, tables, and seating arrangements.
  • Receive delivered food, ensure meals are heated and held at proper temperatures, and prepare all service areas for participant dining and take-out meals.
  • Coordinate efficient and welcoming meal service for participants.
  • Maintain positive daily interactions with participants, helping foster a warm, inclusive, and socially supporting dining environment.
  • Direct and support volunteers assisting with meal service, participant needs, and dining room functions.
  • Determine meal counts, monitor leftovers, prepare frozen meal back-up options, and communicate food needs for upcoming service days.
  • Record participant donations, prepare deposits, and maintain accurate daily donation tracking.
  • Complete and submit required site documentation, reports, and monthly records to the main office. Participant Engagement & Community Connection
  • Develop brief informational or newsletter content related to site activities, announcements, or participant updates as requested.
  • Attend monthly networking or community meetings as assigned to support program visibility and collaborative partnerships.
  • Serve as a welcoming point of contact for seniors attending the meal site and help identify participant questions, concerns, or emerging support needs. Cleaning, Sanitation & Operational Readiness
  • Clean and sanitize kitchen work areas, dining areas, serving lines, utensils, pans, counters, ovens, tables, and storage areas after meal service.
  • Sweep and mop floors and leave all workspaces organized, sanitary, and ready for next use.
  • Maintain acceptable procedures for food storage, labeling, sanitation, and kitchen cleanliness.
  • Perform all meal service duties in compliance with food safety and ServSafe guidelines.
  • Assist in monitoring inventory and reporting supply needs. Teamwork & Program Support
  • Follow oral and written instructions with minimal supervision.
  • Maintain confidentiality of participant, volunteer, and organizational information.
  • Demonstrate cooperative, respectful, and dependable working relationships with coworkers, volunteers, and participants.
  • Adapt quickly to changing participant counts, volunteer availability, and daily operational priorities.
  • Perform other related duties as assigned in support of Nutrition Services operations. Minimum Qualifications (Experience/Education):
  • High School Diploma or equivalent required.
  • Minimum of two (2) years of food service, meal preparation, or commercial kitchen experience preferred.
  • Previous experience working with older adults, volunteers, or in community service settings preferred.
  • Ability to communicate effectively both verbally and in writing.
  • Strong interpersonal and customer service skills.
  • Ability to work independently, stay organized, and manage multiple tasks in a fast-paced environment.
  • Must possess a valid Montana driver's license, reliable transportation, and current auto insurance.
  • Must successfully complete a national background screening.
Pay:
$18.50 - $21.25 per hour
