Builders Specialty Service is seeking a Construction Billing & Payroll Specialist to join our growing team and support. Position Overview:
We are seeking a Construction Billing & Payroll Specialist to manage key billing, payroll, and project documentation processes that support our construction operations. This role plays an important part in ensuring billing accuracy, maintaining project documentation, and coordinating with general contractors/vendors throughout the lifecycle of a project. The ideal candidate will have prior experience working in the construction industry and a strong understanding of AIA billing, certified payroll, and overall construction billing processes. This position requires someone who is highly organized, detail-oriented, and comfortable working with a variety of contractor billing systems.
Key Responsibilities:
Prepare and submit AIA/progress billing, including maintaining Schedule of Values (SOV), tracking retainage, and assisting with change orders Process and facilitate certified payroll submissions to general contractors Set up new projects in billing systems and submit billing through contractor platforms such as Procore, GC Pay, and other GC-specific systems Assist with billing documentation and ensure invoices align with project progress and contract requirements Compile and distribute Operations & Maintenance (O&M) manuals, warranty documentation, and other required project closeout materials Maintain accurate project billing records and communicate regularly with operations leadership to stay aligned on project status and billing milestones
Qualifications:
Prior experience working in the construction industry in a billing, payroll, or administrative role Knowledge of AIA billing/progress billing, including Schedule of Values (SOV), retainage, and change orders Experience preparing certified payroll and coordinating billing with general contractors Comfortable learning and navigating contractor billing platforms such as Procore, GC Pay, or similar systems Proficiency with Microsoft Office and Google Suite Strong attention to detail, organization, and ability to manage multiple projects or deadlines Effective written and verbal communication skills with a professional, courteous approach Self-motivated, reliable, and able to work independently while staying responsive to the team Why Work With Builders Specialty Service?
