Job Description

Job Overview Construction Billing Admin (Hybrid Position) Fire Consulting Solutions, Inc. is seeking a dependable and organized Construction Billing Admin to support billing workflow, invoice follow-up, and operational tracking within our growing construction company. This is a hands-on execution role focused on maintaining billing movement, following up on outstanding items, updating systems, and keeping workflows organized and current. The ideal candidate is proactive, detail-oriented, comfortable working in software systems throughout the day, and able to independently manage recurring workflow responsibilities within an established structure. This role works closely with ownership and our operations/admin team and is best suited for someone comfortable in a fast-paced subcontractor environment where organization, urgency, communication, and follow-through matter.
Responsibilities:
  • Client billing and invoicing
  • Reviewing jobs ready to bill and monitoring quote/hour thresholds
  • Pay applications and online billing portal submissions
  • Following up on unpaid invoices and outstanding billing items
  • Lien release and billing document coordination
  • Updating and maintaining Monday.com boards and project tracking systems
  • Reviewing billing workflows daily and identifying missing or outstanding items
  • Maintaining accurate billing visibility across projects
  • Assisting with operational/admin support as needed within a team environment
  • Answering phones and supporting workflow continuity when needed
Requirements:
  • Construction office or subcontractor billing experience required
  • Experience with pay applications, online billing portals, Procore, or similar construction billing systems required
  • Strong Google Sheets / Excel experience required
  • Comfortable working in software systems and updating workflows throughout the day
  • Ability to proactively follow up, maintain organization, and keep tasks moving without constant direction
  • Comfortable learning and utilizing company systems and operational workflows
  • Experience with Monday.com, Jobber, BusyBusy, or similar systems preferred
  • Strong organizational skills, attention to detail, and team-oriented mindset
Position Details:
  • Part-time position, approximately 20-25 hours per week
  • Preferred schedule: Monday-Friday, approximately 12:30 PM
  • 5:30 PM
  • In-office training required
  • Hybrid flexibility available after successful training and workflow integration
  • Hourly compensation: $23-24/hour based on experience
