By matching Vehicle Identification Numbers (VINs) to precise part-level data, KarKey gives customers electronic visibility that improves order accuracy and fulfillment time, helping dealers and service providers eliminate tied-up service bays. As we grow our U.S. operations, we're looking for detail-oriented finance professionals who can help keep our accounts payable function accurate, efficient, and well-controlled. Position Summary The Accounts Payable Specialist is responsible for the full-cycle processing of vendor invoices and payments, ensuring accuracy, timeliness, and compliance with company policy and internal controls. This role is a great fit for a mid-level AP professional (2-5 years of experience) who is comfortable managing a high volume of transactions, reconciling vendor accounts, and collaborating cross-functionally with procurement, operations, and returns. Key Responsibilities Process a high volume of vendor invoices and credits accurately and on time, matching purchase orders, receipts, and invoices (3-way match). Verify, code, and enter invoices into NetSuite in accordance with GL coding standards and company policy. Prepare and process weekly payment runs (ACH, wire, and check), including obtaining appropriate approvals. Reconcile vendor statements, research and resolve discrepancies, and respond to vendor inquiries in a professional and timely manner. Maintain accurate vendor records, including W-9 collection and 1099 tracking, and support annual 1099 filing. Monitor the AP aging report and proactively flag past-due or at-risk items. Support month-end close by preparing AP accruals, reconciling the AP subledger to the general ledger, and assisting with related journal entries. Identify opportunities to streamline and improve AP processes and controls, including support for system or process automation projects. Maintain organized, audit-ready invoice and payment files in accordance with document retention policy. Qualifications 2-3 years of experience in accounts payable or general accounting. Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred; equivalent work experience will be considered. Working knowledge of GAAP and standard AP/accounting controls. Proficiency with ERP/accounting software (e.g., NetSuite, SAP, Oracle, Microsoft Dynamics, or similar); experience with any of these systems is a plus. Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, basic reconciliation work). High degree of accuracy and attention to detail when working with financial data. Strong organizational and time-management skills, with the ability to manage competing deadlines during month-end close and payment cycles. Clear written and verbal communication skills, including comfort communicating with vendors and internal stakeholders. Ability to handle confidential financial information with discretion.
