Clerk III Fleet Billing 3.9 3.9 out of 5 stars 16707 Bissonnet Street, Houston, TX 77083 Fort Bend Independent School District 578 reviews Description Job Overview The Clerk III Fleet Billing will perform a variety of advanced-level clerical tasks that support the operations and functions of the Transportation Department with a primary focus on fleet‑related billing, invoicing, reconciliations, and vendor coordination. The Clerk supports accurate financial tracking of fleet services, parts, fuel, repairs, and equipment while ensuring compliance with district purchasing and accounting procedures. Work decisions are made in accordance with established precedents and departmental policies. Position Description Essential Duties and Responsibilities Fleet Billing & Financial Support Process, review, and maintain records of fleet‑related invoices, including fuel, parts, repairs, equipment, radios, cameras, and contracted vendor services. Match invoices to purchase orders and receiving documentation; identify discrepancies and coordinate resolution with vendors and internal departments. Maintain accurate billing files and supporting documentation for auditing, reporting, and record‑retention purposes. Assist with monthly, quarterly, and annual tracking of fleet expenditures to support department budget monitoring. Purchasing & Vendor Coordination Review requisitions for accuracy and ensure required approvals are in place prior to purchase order processing. Enter, track, and file purchase orders related to transportation fleet operations. Perform vendor follow‑up, expediting, and billing issue resolution as needed. Serve as a point of contact for fleet‑related billing inquiries from vendors, supervisors, and authorized district staff. Data Entry, Tracking & Reporting Perform data entry related to fleet billing transactions, vehicle costs, equipment purchases, and service expenses. Maintain fleet billing spreadsheets, databases, and inventory‑related financial records. Prepare and distribute reports and documentation as requested by Transportation leadership or authorized personnel. Clerical & Administrative Support Provide general clerical support to the Transportation Department, including filing, record maintenance, copying, scanning, and document distribution. Maintain organized electronic and hard‑copy records of invoices, purchase orders, and billing documentation. Answer phone and email inquiries related to fleet billing; provide information, route calls, or take messages as appropriate. Assist with correspondence, mailings, departmental documentation, and special projects as assigned by the supervisor. Additional Support Duties Assist with office supply ordering and inventory tracking for fleet or department needs. Support department activities, workshops, or operational tasks as assigned. Perform other related duties consistent with the Clerk III classification and as assigned by the supervisor. Ability to communicate effectively, both orally and in writing. Ability to work independently on assigned tasks.
