Job Description:
We are seeking a proactive and detail oriented Administrative Assistant to support daily office operations and assist with billing and administrative tasks. This role is ideal for someone with 10+ years of experience working in an office environment who is organized, dependable, and comfortable handling general clerical responsibilities.
Job Type:
This is a part-time, in-office position, with strong potential to transition to a full-time schedule based on performance, business needs, and mutual fit.

Monday, Tuesday, Friday — 9:00 AM to 4:00

San Antonio, TX (Bexar County) Full time employment for this role is defined as 35 hours per week, aligned with standard office hours. Duties & Responsibilities Assist with billing and invoicing using QuickBooks and other accounting software Conduct weekly follow-ups with customers regarding overdue payments via phone and email Perform general office duties including filing, data entry, scanning, and record maintenance Manage front desk responsibilities and a multi-line phone system professionally Respond to billing-related inquiries with professionalism and courtesy Create and maintain spreadsheets and basic reports Proofread invoices, reports, and correspondence for accuracy and clarity Experience & Qualifications 10+ years of experience working in an office setting performing basic/mid level clerical duties Must be bilingual Proficient in Microsoft Excel, including spreadsheet creation and reporting Working knowledge of QuickBooks and Microsoft Office Excellent organizational and time-management skills Professional and confident communication skills when working with customers. Ability to work independently, prioritize tasks, and meet deadlines Extensive AP/AR or accounting experience is not required Ideal Candidate Traits Proactive and self-motivated Takes initiative and anticipates needs Detail-oriented and dependable Strong verbal and written communication skills Professional phone and office presence
