Job Description
Position Summary The Billing Specialist is responsible for managing the invoicing and billing process for mechanical construction projects. This role ensures accurate and timely billing in alignment with contract terms, supports project teams with financial tracking, and helps maintain strong client relationships through clear and professional communication. Key Responsibilities Prepare and submit customer invoices for construction projects, including progress billing and time-and-material (T&M) billing Review contracts, purchase orders, and change orders to ensure billing accuracy and compliance Work closely with Project Managers to track job progress, costs, and billing milestones Manage AIA billing processes Monitor accounts receivable and follow up on outstanding invoices Resolve billing discrepancies and respond to customer inquiries in a timely manner Maintain accurate billing records and documentation in ERP/accounting systems Assist with month-end close, revenue recognition, and reporting Support internal audits and ensure compliance with company and client requirements Qualifications 2-5+ years of billing or accounting experience, preferably in construction or mechanical contracting Strong understanding of construction billing processes (progress billing, T&M, retainage, lien waivers) Experience with AIA billing and construction documentation preferred Proficiency in accounting/ERP systems Strong Excel skills and attention to detail Ability to manage multiple projects and deadlines in a fast-paced environment Excellent communication and organizational skills Preferred Qualifications Experience working with a mechanical, HVAC, plumbing, or specialty subcontractor Familiarity with job costing and construction financial reporting Knowledge of Virginia lien laws and construction compliance requirements Work Environment Office-based role in Richmond, VA, with occasional coordination with field teams Collaborative environment working closely with project management and accounting teams Compensation & Benefits Competitive salary based on experience Health, dental, and vision insurance 401(k) with company match Paid time off and holidays Opportunities for growth within accounting or project support functions
