Job Description
Key Responsibilities:
- Track and audit file progression through key legal milestones: letter issuance, lawsuit filing, service of process, judgment entry, and execution filing.
- Enforce firm SLAs (Service Level Agreements) by proactively flagging delayed actions or missed legal benchmarks.
- Run regular audits to locate dormant accounts or files that have "fallen between the cracks" (e.g., pending service returns or skipped post-judgment actions).
- Monitor placement tranches, analyzing groups of accounts for recovery trends, ROI, and performance variances.
- Provide pipeline reports for executive leadership, identifying high-opportunity segments and areas of systemic delay.
- Partner with the Director of Operations to design, test, and implement automated legal workflows and case management technologies.
- Assist the Director of Operations in managing the daily activities of paralegals, collectors, and legal assistants.
- Serve as a point of contact for staff to resolve operational bottlenecks or system errors.
Qualifications and Skills:
- Experience in legal inventory management, operations, or portfolio analysis—ideally within a collections law firm.
- Proven experience assisting in team management, delegating tasks, or leading project workflows.
- High proficiency with collection case management software (CMS) and advanced Excel skills. Experience with legal automation tools is a strong plus.
- Ability to help staff adapt to new tools, procedures, and shifting operational priorities.
- Strong root-cause analysis skills to pinpoint why files stall and implement permanent fixes.
