This position works under the close supervision of the Document Control Specialist/Manager and is responsible for accurately entering and maintaining engineering, drawing, bill of materials (BOM), and job-related information in the Made2Manage (M2M) system. The ideal candidate is comfortable working with detailed information, has strong computer and data-entry skills, and can manage multiple priorities while meeting deadlines. Previous experience with M2M, manufacturing documentation, engineering drawings, or ERP systems is a plus. Essential Job Duties Enter engineering drawings and related information into Sales Order BOMs in the M2M system, including: Bill of Materials (BOM) Release dates Special instructions Drawing revisions and updates Blueprint changes Job order information Enter and process Engineering Change Orders (ECOs) and non-ECO release documentation. Maintain accurate records identifying which drawings are affected by ECOs and other changes. Update ECO logs, scan documentation, and distribute information to designated personnel. Enter long-lead part numbers into Sales Order BOMs. Reference quotes to corresponding parts and Job BOM pick lists. Prepare pick lists and obtain required approvals before release. Notify appropriate departments when jobs need to be opened and parts need to be purchased. Follow up with departments as needed to ensure jobs and materials are progressing. Prepare approved document releases by copying, stamping, and distributing documents to designated departments. Process approved corrections and resolve discrepancies in the M2M system. Scan and organize documentation, including: Part number forms Backlog and current documentation Blueprint books Sales order files Other department records Provide daily phone coverage as needed. Maintain organized and accurate department files and records. Additional Responsibilities Provide backup support to the Document Control Specialist when needed. Assist with drawing entries during periods of increased workload. Order office supplies for the department. Perform other related duties as assigned. Qualifications High school diploma or equivalent. Minimum typing speed of 40 words per minute . Ability to use a 10-key calculator/keypad accurately. Proficiency with computers and standard office equipment. Proficiency with Microsoft Word, Excel, and Outlook . Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to manage multiple tasks and competing priorities while meeting deadlines. Ability to follow established procedures and maintain accurate documentation. Prior Made2Manage (M2M) experience is a plus. Experience with ERP systems, manufacturing documentation, BOMs, engineering drawings, or document control is a plus. Bilingual skills are a plus.
