Key Requirements:

You will Serve as the first point of contact for visitors, vendors, customers, and applicants Answer and route incoming phone calls professionally and efficiently Perform accurate data entry into internal systems (Quote Tracker, etc.) Enter new jobs, RFQs, and supporting information with a high level of accuracy Scan, upload, organize, and maintain digital and physical records (SharePoint and filing systems) Prepare and distribute work orders, RFQ(Request for Quote) folders, and supporting documentation Match, file, archive, and store Accounts Payable documents Support multiple departments and assist with administrative and creative projects as needed Strong attention to detail, ability to prioritize tasks, maintain accuracy, and meet deadlines in a fast-paced environment required Strong organizational, multitasking, verbal and written communication skills required Professionalism and discretion when handling sensitive and confidential information required Proficiency in Microsoft Office (Outlook, Excel, Word) required Consistent and dependable attendance required Experience with ERP or quoting systems preferred
