Job Description

The Grant Assistant / Data Collections Specialist supports the implementation and administration of grant-funded initiatives at the college. This position is responsible for assisting with financial tracking, maintaining accurate records, supporting grant compliance, and collecting and analyzing program data. The role requires strong accounting, administrative, and data management skills to ensure accurate reporting, documentation, and effective program monitoring. The individual will work closely with grant leadership, program staff, and institutional departments to collect, manage, and analyze data related to grant objectives and outcomes. This position plays a key role in supporting grant reporting requirements and maintaining compliance with funding agency guidelines. Grant Administration
  • Assist with day-to-day administrative operations of grant-funded programs.
  • Maintain organized grant documentation and records in compliance with institutional and funding agency requirements.
  • Support preparation of grant reports, documentation, and correspondence.
  • Coordinate meetings, maintain calendars, and assist with grant-related communications. Financial Tracking and Accounting Support
  • Assist with tracking grant expenditures and budgets.
  • Maintain financial records related to grant activities and purchases.
  • Prepare budget summaries and assist with financial reporting.
  • Monitor expenses to ensure alignment with grant guidelines and approved budgets.
  • Coordinate with finance and procurement offices to ensure accurate accounting practices. Data Collection and Reporting
  • Collect, compile, and maintain program data required for grant reporting.
  • Track participant data, program activities, and performance metrics.
  • Ensure data accuracy, integrity, and proper documentation.
  • Prepare regular reports for grant administrators and funding agencies. Data Analysis and Program Support
  • Perform basic data analysis to support program evaluation and decision-making.
  • Create spreadsheets, dashboards, and summaries to monitor progress toward grant objectives.
  • Assist with data visualization and preparation of reports for internal and external stakeholders.
  • Collaborate with program staff to interpret and use data for program improvement. Administrative Support
  • Provide general administrative support to grant leadership and program teams.
  • Maintain databases, spreadsheets, and filing systems.
  • Assist with event coordination, scheduling, and documentation of program activities.
  • Support compliance with institutional policies and grant regulations. Required Qualifications
  • Bachelor's degree in Business, Accounting, Communications, Education, Data Analysis, or a related field.
  • Experience with data collection, record keeping, and administrative support.
  • Strong accounting or financial tracking skills.
  • Proficiency in Microsoft Office or similar software, particularly Excel or other data management tools.
  • Experience working with spreadsheets, databases, or reporting systems.
  • Strong organizational, communication, and time-management skills.
  • Ability to maintain accurate records and manage multiple priorities.
  • Ability to handle confidential information with discretion. Preferred Qualifications
  • Experience working with grant-funded programs, particularly in higher education or nonprofit environments.
  • Experience with basic data analytics, reporting, or program evaluation.
  • Familiarity with data visualization or reporting tools.
  • Experience supporting budget management or financial documentation. Work Environment This position is primarily office-based within a community college setting and requires regular interaction with faculty, staff, students, and program partners. Employment Terms
