JOB SUMMARY
: The Enrollment Specialist manages student registration, enrollment, and records processes to ensure accurate data, compliance with state requirements, and a welcoming resource for families. This role serves as a key liaison between families, schools, and district departments, providing high-quality customer service while maintaining the integrity of student information systems and supporting state reporting requirements.
QUALIFICATIONS
High school diploma or equivalent Associate's degree in Business Administration or a related field preferred Minimum of 2 years of experience in a data management or customer support role Previous experience with student information systems preferred
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Registration & Enrollment Process online and in-person student registration; assisting families, verifying documentation, and confirming school placement. Research and verify student information through the state database. Communicate with families, schools/programs, and other districts regarding enrollment matters. Enter, update, and maintain student data in the district's student information system. Process student records requests and coordinate transfer of records. Collaborate with schools and departments to support student onboarding and transitions. Assist with annual registration processes and transportation information. Support families with interpreter services. Track enrollment trends, maintain accurate records, and prepare reports. Open Enrollment & Billing Serve as the primary point of contact for families regarding open enrollment in and out of the district. Explain state policies and communicate board decisions to families. Process, manage, and maintain open enrollment applications, documentation, and student records. Prepare reports and materials for board meetings. Coordinate with resident districts, administrators, and state agencies. Compile summer enrollment data to support student placement decisions. Process billing and review/approve invoices for open and concurrent enrollment. State Reporting & Compliance Collaborate with school and district staff to ensure accurate state-certified enrollment data. Monitor state databases for errors and work with staff to resolve data discrepancies. Serve as a district liaison to the State Department of Education regarding data issues and resolutions. Partner with district leadership to review state adjustments and ensure compliance with reporting requirements. Customer Service & Family Support Provide responsive, family-centered support related to enrollment and district services. Assist families with translation services, transportation, student portals, fee waivers, scholarships, and registration processes. Support athletic registration, fee payment, and education verification requests. Collaborate with administrators and social workers to address homelessness and guardianship situations. Records Management & Data Integrity Maintain accurate and compliant student records in accordance with board policy and state regulations. Review legal documents to ensure proper documentation is on file. Monitor student records to support dropout prevention efforts. Communicate with residential facilities, area education agencies, and state offices regarding discrepancies. Support special education processes through distribution of Individualized Education Plans (IEPs), data verification, and reporting assistance.
OTHER FUNCTIONS
Complete required training. Engage in ongoing professional development related to responsibilities. Support district office reception area. Perform other job-related duties, as assigned.
KNOWLEDGE, SKILLS & ABILITIES
General knowledge of educational systems and regulatory requirements Proficient in Microsoft Office Suite, Google Workspace, and ability to learn district- and state-specific systems Excellent organizational, communication, customer service, and problem-solving skills Ability to interpret and apply state code and reporting requirements, board policy, student data, and district boundaries to inform decisions Ability to maintain high levels of accuracy with data management and regulatory compliance Ability to manage multiple priorities with efficiency and professionalism Ability to maintain confidentiality and adhere to District policies and procedures Ability to work independently and demonstrate initiative with minimal supervision Cultural competence and sensitivity when working with diverse populations In evaluating candidates for this position, Johnston Community School District may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.
